Office Coordinator

Job Summary
The Office Coordinator is responsible for ensuring the smooth day-to-day operations of the office by providing administrative support, coordinating office activities, assisting staff, and delivering excellent customer service. This position serves as the central point of communication for employees, clients, patients, and vendors.


(Medical Assistant license Needed)

Essential Duties & Responsibilities

  • Coordinate daily office operations and workflow.
  • Answer and direct incoming phone calls.
  • Greet patients, clients, visitors, and vendors professionally.
  • Schedule appointments, meetings, and staff calendars.
  • Maintain electronic and paper filing systems.
  • Order and manage office supplies and equipment.
  • Prepare reports, correspondence, spreadsheets, and presentations.
  • Process invoices, purchase orders, and other administrative documents.
  • Assist with onboarding new employees and maintaining personnel files.
  • Coordinate communication between departments.
  • Ensure compliance with company policies and confidentiality requirements (including HIPAA in healthcare settings).
  • Monitor office cleanliness and coordinate maintenance needs.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Assist management with special projects and other duties as assigned.
  • Qualifications
  • High school diploma or GED required.
  • Associate’s degree preferred.
  • 2–5 years of administrative or office coordination experience.
  • Healthcare or hospital experience preferred.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Ability to maintain confidentiality and professionalism.
  • Physical Requirements
  • Ability to sit, stand, and walk for extended periods.
  • Occasionally lift up to 25 pounds.
  • Frequent use of computers, phones, and other office equipment. Strong problem-solving and customer Skills
