The Waterford Care Center is seeking a Human Resources Generalist / Admissions Coordinator to join the team. The Human Resources Generalist serves as the primary resource for payroll submission and human resources activities at the facility level. The primary purpose of this position is to ensure compliance with current federal, state, and local employment laws and regulations while supporting recruitment, onboarding, employee relations, and staff retention. This role will also handle admissions responsibilities approximately 20–30% of the time.

Human Resources Duties and Responsibilities

  • Ensure candidates are moved correctly through the Applicant Tracking System (ATS), including training hiring managers on the hiring process.

  • Ensure the fingerprinting process is initiated before new employees begin work.

  • Enter employees into the HRIS following successful background checks and ensure all onboarding requirements are completed.

  • Schedule and present HR topics during weekly new hire orientation using company-provided materials.

  • Partner with the Administrator to ensure department managers participate in orientation and present required materials.

  • Review, correct, process, and submit payroll accurately and on time.

  • Participate in and/or lead recruiting initiatives, including job fairs, school partnerships, and social media recruiting.

  • Manage FMLA and other employee leave requests while ensuring HIPAA compliance.

  • Train employees on company policies and procedures and ensure consistent application.

  • Maintain OSHA documentation and complete all required annual reporting and postings.

  • Serve as the primary facility resource for employee benefits and handbook-related questions, collaborating with regional and corporate HR when needed.

  • Perform other duties as assigned.

Admissions Duties and Responsibilities

  • Create resident name tags and welcome packets and deliver admission notifications to nursing staff.

  • Welcome residents upon admission. For after-hours admissions, notify reception and the interdisciplinary team in advance to ensure a smooth transition for residents and their families.

  • Conduct facility tours for prospective residents and families.

  • Manage all workflows within the RESIDE software, ensuring demographic and payer information is accurate.

  • Complete resident agreements through RESIDE within 72 hours of admission.

  • Request concurrent authorizations to extend length of stay, upload supporting documentation into PCC, record authorization information, and maintain authorization logs.

  • Assist with facility rounds as requested.

  • Perform concierge-related duties.

Human Resources Generalist/Admissions Coordinator Skills and Abilities:

  • Working knowledge of WOTC, EEO, I-9, ERISA, COBRA, FMLA, ADA, Workers’ Compensation, and related employment regulations.

  • Working knowledge of employee benefit plans.

  • Experience maintaining OSHA documentation.

  • Strong HR leadership and organizational skills.

  • Ability to manage multiple priorities in a fast-paced environment.

  • Basic to intermediate proficiency with Microsoft Office Suite.

  • Ability to coach managers and employees on HR processes and compliance.

Human Resources Generalist/Admissions Coordinator Education and Experience:

  • Bachelor’s degree in Human Resources Management or a related field preferred.

  • HRCI or SHRM certification preferred but not required.

  • At least one year of HR Generalist or HR Assistant experience preferred.

  • At least two years of experience in a skilled nursing facility or hospital environment preferred.

  • Experience with applicant tracking systems (ATS), HRIS, learning management systems (LMS), and other HR software.

  • Experience working in a union environment preferred, depending on location.

Physical Requirements:

  • Must be able to move intermittently throughout the workday.

  • May be necessary to assist in the evacuation of residents during emergency situations.
