Position Summary

The CO-Processing Scheduler is responsible for coordinating customer-owned and contract-processing orders from receipt of production requirements through scheduling, production, inventory reconciliation, and shipment readiness. The position ensures that customer requirements, available inventory, production capacity, lot traceability, packaging requirements, and quality status are accurately coordinated before and throughout production.

The CO-Processing Scheduler works closely with Production, Quality Assurance, Inventory Control, Warehouse, Logistics, Maintenance, USDA/DFA, Traders, and other applicable departments to ensure orders are produced accurately, efficiently, and in accordance with customer specifications, Primex procedures, food safety requirements, and operational priorities.

The position maintains accurate scheduling and inventory information within NAV and other applicable systems, communicates changes or potential delays, and escalates conflicts or discrepancies that could affect production, customer commitments, product quality, or inventory accuracy.

Essential Functions

  • Develop, maintain, and communicate CO-Processing production schedules based on customer requirements, available inventory, plant capacity, production priorities, and operational constraints.
  • Review customer call-offs, purchase orders, processing instructions, and other production requirements for completeness and scheduling feasibility.
  • Verify applicable product requirements, including product type, variety, grade, size, quantity, processing requirements, roast and salt specifications, packaging, labeling, pallet configuration, and customer-specific instructions.
  • Identify discrepancies between customer instructions, item codes, system information, inventory, and production requirements and escalate discrepancies before production begins.
  • Coordinate CO-Processing schedules with Production, Quality Assurance, Warehouse, Logistics, Maintenance, Inventory Control, USDA/DFA, Traders, and other applicable departments.
  • Monitor production progress and adjust schedules as necessary due to equipment downtime, material availability, QA holds, sanitation/changeover requirements, production performance, or changing customer requirements.
  • Escalate scheduling conflicts or anticipated delays that may affect customer commitments or Primex production priorities to the Lead Production Scheduler and/or Production Management.

Inventory, Lot Control & Traceability

  • Verify availability and status of customer-owned materials, raw materials, WIP, rework, and finished goods required for CO-Processing orders.
  • Maintain accurate lot assignments, inventory movements, and scheduling information within NAV and other applicable company systems.
  • Create or coordinate license plates and lot assignments as required while maintaining accurate product traceability.
  • Ensure customer-owned materials are properly identified, segregated, assigned, and accounted for throughout the processing cycle.
  • Maintain traceability between incoming/customer-owned material, production lots, WIP, rework, finished goods, and shipment documentation.
  • Investigate and communicate inventory discrepancies that may affect production schedules or customer-owned inventory.
  • Reconcile CO-Processing orders following production, including quantities processed, finished product produced, rework, residual product, shrink/loss, and remaining customer inventory.

Quality, Food Safety & Customer Requirements

  • Verify the QA status of assigned lots before scheduling or releasing material for production.
  • Coordinate required sampling, testing, grading, inspections, and product release activities with Quality Assurance and other applicable departments.
  • Ensure inventory on QA hold or other restricted status is not scheduled for production without appropriate authorization.
  • Monitor QA failures, holds, or product restrictions that could affect CO-Processing commitments and communicate potential schedule impacts.
  • Maintain compliance with applicable GMP, HACCP, FSMA, SQF, food safety, allergen-control, customer, and company requirements.
  • Immediately report food safety, quality, traceability, inventory, or scheduling deviations to the appropriate department and management personnel.

Packaging, Labeling & Documentation

  • Coordinate label creation and verify production labels against approved item codes, customer specifications, and production requirements.
  • Verify packaging requirements, case or bag configuration, pallet configuration, lot coding, and other customer-specific packaging instructions before production.
  • Prepare and maintain accurate production schedules, lot assignments, processing instructions, packaging requirements, and customer-specific production documentation.
  • Ensure Production receives complete and accurate scheduling and processing instructions before production begins.
  • Maintain accurate records and system transactions necessary to support inventory control, traceability, production reporting, and customer reconciliation.

Communication & Continuous Improvement

  • Communicate production priorities, schedule changes, inventory issues, QA impacts, and customer requirements to appropriate personnel in a timely manner.
  • Participate in production planning, CO-Processing, inventory, and customer-order meetings as required.
  • Provide accurate status updates regarding scheduled, in-process, completed, held, and delayed CO-Processing orders.
  • Maintain effective communication between shifts and provide clear pass-down information regarding outstanding orders, inventory issues, QA holds, and production priorities.
  • Identify scheduling, inventory, documentation, and workflow inefficiencies and recommend improvements to Production Management.
  • Maintain regular and reliable attendance.
  • Perform additional duties and projects assigned by Management.

Qualifications

Education and Experience

  • High school diploma or GED preferred.
  • 1–2 years of production scheduling, inventory control, manufacturing, logistics, customer service, or related food-manufacturing experience preferred.
  • Experience working in food manufacturing is preferred.

Knowledge, Skills, and Abilities

  • Working knowledge of ERP/inventory systems; NAV experience strongly preferred.
  • Intermediate Microsoft Excel skills preferred.
  • Ability to interpret sales orders, item codes, production specifications, inventory reports, and customer requirements.
  • Understanding of lot traceability and inventory-control principles.
  • Knowledge of GMP, HACCP, FSMA, SQF, and food-safety requirements appropriate to the position.
  • Ability to identify discrepancies and escalate issues before they affect production.
  • Strong written/verbal communication and ability to coordinate across departments.
