Job Description

The Healthcare Logistics Administrator coordinates the administrative and logistical functions of Team Grateful's healthcare programs and services, ensuring that healthcare resources, records, scheduling, and service delivery operations are managed efficiently, compliantly, and compassionately. This role is central to ensuring that every participant receives timely, high-quality, and dignified healthcare support.


Key Responsibilities

  • Coordinate scheduling, referrals, and logistics for healthcare services, appointments, and programs across the organization.
  • Maintain accurate and complete participant records and healthcare-related documentation in compliance with applicable regulations.
  • Manage healthcare supply inventory and coordinate the procurement of medical and wellness resources to support program needs.
  • Serve as the primary liaison between healthcare providers, program staff, and participants to ensure seamless service coordination.
  • Ensure full compliance with HIPAA and all applicable federal, state, and organizational healthcare regulations.
  • Assist with the coordination of health fairs, wellness events, and community health outreach activities.
  • Prepare healthcare logistics reports and track key service delivery metrics to inform leadership decisions.
  • Communicate professionally with insurance carriers, healthcare partners, and community referral agencies.
  • Support billing and administrative processes related to healthcare programs and services.
  • Provide compassionate, participant-centered support in all interactions, honoring the dignity of every individual served.

Qualifications

Required

  • Associate's or Bachelor's degree in Healthcare Administration, Public Health, Business Administration, or a related field.
  • 3+ years of experience in healthcare administration or medical office management.
  • Working knowledge of HIPAA regulations and healthcare compliance standards.
  • Strong organizational, communication, and interpersonal skills with a participant-first mindset.

Preferred

  • Certified Medical Administrative Assistant (CMAA) or similar professional credential.
  • Experience in community health program settings.
  • Bilingual in English and Spanish.
