Monarqui Aesthetics & Wellness is seeking a dependable, polished, organized, and personable Patient Care Coordinator/Medical Assistant to join our growing aesthetics and wellness practice.

This is a hybrid position combining patient coordination, front-office operations, customer service, sales, and Medical Assistant responsibilities.

The ideal candidate is confident communicating with patients, managing appointments and follow-ups, educating patients about our services, and creating an elevated experience from the first inquiry through checkout and post-treatment follow-up.

This position requires someone who takes initiative, pays close attention to detail, and understands that every patient interaction contributes to the Monarqui experience.

Patient Care Coordinator & Front Office Responsibilities

  • Greet patients warmly and provide a professional, elevated experience from check-in through checkout.
  • Answer and promptly respond to incoming calls, text messages, social media inquiries, and patient questions.
  • Convert patient inquiries into consultations and scheduled appointments through confident and professional communication.
  • Schedule, confirm, reschedule, and manage appointments while maintaining an efficient clinic schedule.
  • Follow up with prospective patients who have expressed interest but have not yet scheduled.
  • Educate patients on Monarqui services, treatment options, pricing, packages, memberships, promotions, and available financing/payment options when applicable.
  • Assist patients with selecting appropriate appointments while referring clinical or medical questions to the provider.
  • Recognize urgent or medical concerns and promptly escalate them to the provider.
  • Document patient inquiries, consultation recommendations, pricing discussions, and relevant concerns accurately.
  • Process patient payments, packages, memberships, promotional pricing, gift cards, and applicable patient reward programs.
  • Assist with patient retention by identifying patients who are due or overdue for maintenance treatments and contacting them appropriately.
  • Perform post-treatment follow-up communication as directed.
  • Maintain accurate patient demographics, consent forms, medical histories, treatment records, and other required documentation.
  • Maintain an organized, clean, professional, and welcoming front-office environment.
  • Help maintain smooth patient flow throughout clinic hours.

Medical Assistant Responsibilities

  • Prepare patients and treatment rooms for aesthetic and wellness procedures.
  • Complete patient intake, including medications, allergies, medical history, and treatment concerns.
  • Obtain vital signs when appropriate.
  • Perform blood draws confidently and safely.
  • Assist the provider with aesthetic and wellness treatments as directed.
  • Apply topical anesthetic when ordered and appropriate.
  • Prepare supplies and equipment before scheduled treatments.
  • Take standardized, high-quality before-and-after photographs.
  • Assist with patient comfort throughout procedures.
  • Maintain proper infection-control, sanitation, sharps disposal, and patient-safety standards.
  • Accurately document products used, lot numbers, expiration dates, treatment information, and other required information.
  • Clean, disinfect, restock, and prepare treatment rooms between patients.

Inventory & Clinic Operations

  • Monitor medical, injectable, and office inventory and communicate low-stock items before supplies run out.
  • Assist with monthly inventory counts and reconciliation.
  • Ensure treatment rooms and clinical supplies remain appropriately stocked.
  • Maintain organization of back-stock and clinical supplies.
  • Monitor expiration dates and help maintain proper inventory rotation.
  • Assist with receiving and organizing clinic deliveries.
  • Prepare routine clinic supplies according to established Monarqui protocols.
  • Help ensure the clinic is prepared and fully operational before the first scheduled patient.

Patient Experience, Marketing & Content Support

  • Take consistent before-and-after photographs according to Monarqui standards.
  • Obtain and verify appropriate photo/video consent before content is used.
  • Assist with capturing treatment photography and short-form social media content when requested.
  • Help identify appropriate patients who may be interested in model opportunities or current clinic promotions.
  • Maintain knowledge of current Monarqui promotions and communicate them accurately.
  • Represent the Monarqui brand professionally in person, over the phone, through text messaging, and through social media communication.

Qualifications

  • Medical Assistant certification preferred.
  • Strong phlebotomy/blood-draw skills strongly preferred.
  • BLS certification preferred.
  • Previous experience in medical aesthetics, dermatology, plastic surgery, wellness, or a similar medical environment preferred.
  • Front-office, scheduling, customer-service, hospitality, or patient-coordination experience strongly preferred.
  • Comfortable discussing treatment pricing and promotions and converting inquiries into appointments.
  • Sales experience is beneficial, but a high-pressure sales approach is not appropriate for this role.
  • EMR and patient scheduling experience preferred.
  • Bilingual English/Spanish is a plus.
  • Comfortable taking high-quality patient photographs and assisting with social media content.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • High attention to detail and accurate documentation.
  • Comfortable transitioning between front-office and clinical responsibilities.

A successful Patient Care Coordinator / Medical Assistant at Monarqui helps ensure that patients receive prompt responses to their inquiries, appointments are confirmed and the schedule remains organized, prospective patients are consistently followed up with, treatment rooms are prepared and stocked, inventory is accounted for, documentation is accurate, and every patient receives a polished and consistent experience.

Most importantly, this position takes ownership of the patient journey—from the patient's first interaction with Monarqui through their treatment, checkout, follow-up, and future maintenance appointments.
