We are looking for a highly organized Contracts Administrator to support a growing legal team.


Responsibilities:

• Coordinate multiple real estate transactions by maintaining closing schedules, updating task trackers, and following through on outstanding items needed for completion.

• Work with title companies, escrow partners, consultants, recording providers, and external counsel to gather diligence materials and support successful closings.

• Prepare transaction-related documents such as escrow correspondence, transmittal letters, recording packets, and other routine closing materials.

• Organize final deal files and ensure executed documents, title materials, surveys, and related records are accurately stored and easy to retrieve.

• Request and monitor title commitments, policy updates, exception documents, endorsement materials, pricing information, and final policies for active projects.

• Maintain contract records for the real estate portfolio, including milestone dates, notice periods, renewal terms, rent changes, and other key obligations.

• Issue timely reminders to legal and development stakeholders so critical dates and contractual commitments are addressed in advance.

• Route agreements for review and signature, monitor progress through approval stages, and help keep execution timelines on schedule.

• Draft standard amendments, extensions, and formal notices using approved forms and established templates.

• Administer electronic document platforms and shared repositories to keep agreements properly labeled, current, and accessible to authorized team members.

• Prior legal experience supporting real estate transactions and contract administration.

• Working knowledge of title and survey documentation, closing processes, and due diligence coordination.

• Strong skill in preparing routine legal or transaction documents from templates with accuracy and consistency.

• Proficiency with contract databases, document management platforms, and standard business software tools.
