Job Description

The Onboarding Specialist is responsible for facilitating the hiring and orientation process of healthcare and administrative support staff at Whitecap Search. This role ensures compliance with regulatory and accreditation standards while providing ongoing support and guidance to new hires and existing employees. The Onboarding Specialist partners closely with Human Resources, Operations, Clinical, and Administrative leadership to deliver a seamless onboarding experience.

Key Responsibilities
  • Prepare and distribute offer letters, employment agreements, and onboarding materials for employees, temporary staff, contractors, students, and volunteers.
  • Facilitate orientation sessions and onboarding activities for new hires.
  • Monitor completion of required onboarding modules, assessments, and evaluations.
  • Ensure compliance with federal, state, and local regulations, as well as accreditation standards including HRSA, OMH/OASAS, OSHA, and others.
  • Partner with internal teams to collect required onboarding documentation, including background checks, certifications, licenses, and other credentialing requirements.
  • Maintain accurate onboarding records and employee files.
  • Provide ongoing support to new hires and employees by addressing questions and resolving onboarding-related issues.
  • Collaborate with Human Resources, Operations, Clinical, and Administrative departments to improve onboarding processes and employee experience.
  • Participate in audits, surveys, and inspections related to onboarding and compliance functions.
  • Prepare and distribute transfer letters and employment change documentation, ensuring appropriate signatures and record retention.

  • Proficient with Microsoft Office applications
  • Experience with Applicant Tracking Systems, Oracle, and DocuWare is preferred
Minimum Education
  • Bachelor's Degree
Minimum Experience
  • 1–2 years of experience in an administrative or office setting
Preferred Experience
  • 3–5 years of related experience
