POSITION TITLE: Logistics Coordinator
REPORTS TO: Logistics & Volunteer Manager
EMPLOYMENT CATEGORY: Full-Time, Exempt

ABOUT MANNA

MANNA is a nonprofit organization in Philadelphia that provides nutrition services to improve the health of people with serious illnesses who need nourishment to heal. Through medically tailored meals and nutrition education, we empower people to improve their health and quality of life.

SUMMARY: The Logistics Coordinator supports MANNA's volunteer driver meal delivery program and day-to-day distribution logistics. Working collaboratively with the Volunteer and Distribution departments, this position coordinates volunteer drivers involved in meal delivery, maintains delivery data, supports volunteer outreach, and helps ensure accurate, safe, and efficient meal distribution.

ESSENTIAL FUNCTIONS:

Volunteer & Outreach Coordination

  • Coordinate, train, and support volunteer drivers, serving as the main point of contact.
  • Conduct monthly on-site volunteer orientations and maintain records in VolunteerHub and other databases.
  • Collaborate with the Volunteer Coordinator to identify and execute volunteer recruitment strategies.
  • Coordinate volunteer driver coverage for holidays, special events, and other delivery needs.
  • Represent MANNA at community outreach events to promote volunteer opportunities.
  • Support the daily on-site volunteer needs.

Distribution & Logistics Support

  • Assist in coordinating and supervising the meal pack for local and shipping client deliveries, ensuring accuracy with client choice selections and assigned diet modifications.
  • Utilize WorkWave software for client meal delivery routing and schedule optimization.
  • Monitor food safety practices during the meal pack and ensure compliance with all required standards and procedures.
  • Maintain accurate client demographic and delivery information in MANNA’s client and delivery software tools; including but not limited to address changes, delivery suspensions, and hospitalizations.
  • As requested, deliver client meals and provide driver support

General

  • Provide cross-coverage for departmental responsibilities as needed.
  • Perform other duties as assigned.
  • Maintain flexibility in work schedule.
  • Standard weekly schedule: Monday-Friday, 6:30am-2:30pm
  • Schedule is subject to change based on departmental and operational needs.

REQUIRED SKILLS AND ABILITIES:

  • Strong verbal and written communication skills, with excellent interpersonal and customer service abilities.
  • Excellent organizational skills, attention to detail, and ability to maintain accurate records.
  • Effective time-management skills and demonstrated ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize multiple tasks and adapt to changing operational needs.
  • Ability to work independently and collaboratively in a team environment.
  • Ability to work effectively in a fast-paced environment that may occasionally be stressful.
  • Proficiency with Microsoft Office, including Excel and Word, and ability to learn volunteer management and delivery software.
  • Ability to regularly lift and carry up to 50 pounds, push or maneuver carts loaded with meals, stand for extended periods, bend, and climb stairs, with or without reasonable accommodation

EDUCATION AND EXPERIENCE

  • High school diploma or equivalent required.
  • Minimum two years of experience in volunteer coordination, logistics, distribution, or customer service, or a related field.
  • Valid driver’s license with a safe driving record required.
  • ServSafe certification required or ability to obtain within a timeframe established by MANNA.

WORKING CONDITIONS

  • Work is performed on-site at MANNA’s Philadelphia facility.
  • Role includes regular physical activity and periodic work in cold-storage areas, including refrigerators and freezers.
  • Frequent interaction with volunteers, staff, drivers, and clients from diverse backgrounds.

ADDITIONAL REQUIREMENTS  

All offers of employment with MANNA are contingent upon the successful completion of a standard credentialing process, including a criminal background check, driving record review, and drug screening. These screenings are subject to annual re-verification as a condition of continued employment.  

SALARY: $46,000-$49,000
