Opportunity Overview

We have an immediate opening for a Clinical Administrative Coordinator to join our team at IVF Florida in Wellington, Florida.

  • Schedule: Monday through Friday, from 7:30 AM to 4:30 PM, with rotating weekends and holidays from 7:30 AM to 12:00 PM (at our Jupiter location, as needed)

In this role, the Clinical Administrative Coordinator will:

  • Meet with patients and assist with coordination of needed prescreening/testing in conjunction with physician orders
  • Provide patient education regarding clarification of physician instructions, medication instruction, and anticipatory guidance under the supervision of the RN
  • Establish a compassionate environment by providing excellent customer service, anticipating anxieties, answering questions, and providing support
  • Document patient care services by charting in patient and department records
  • Assist the clinical team as needed; communicate results to patients via call backs under the supervision of the RN
  • Provide consistent and timely patient follow up as needed
  • Scan forms, records, and other information as needed into the EMR
  • Ensure authorizations are obtained; assist with completing and routing needed insurance forms
  • Assist in obtaining authorizations for medications
  • Manage schedules and scheduling of patients
  • Communicate problems to the clinical team (i.e. prescreening, testing or financial concerns)
  • Assist the clinical team with correspondence and other administrative tasks as needed
  • Assist the clinical team to resolve patient problems and needs
  • Assist the front desk with answering phones, checking patients in/out, and other administrative duties
  • Assist with setting up rooms for procedures, cleaning and stocking procedure rooms and blood draw stations, and assist in maintaining patient medical records
  • Assist with performing phlebotomy, vital signs/weight/height, during examinations and procedures, preparing samples and specimens for procedures as needed, and completing accompanying paperwork as necessary
  • Perform other duties as assigned

What You’ll Bring

Qualifications and Skills Include:

  • High school diploma; Associates degree preferred
  • Minimum of 1 year experience in a hospital or medical office setting required
  • Phlebotomy experience required
  • BLS certification required
  • Extensive knowledge of insurance/benefits, medical terminology and medical billing
  • Women's health, OB/GYN, or Fertility experience preferred
  • Knowledge of office procedure and office machines (i.e. computer, fax, copier, etc.)
  • Basic computer proficiency with Microsoft Office suite
  • Ability to communicate accurately and concisely
  • Excellent interpersonal skills
  • Strong attention to detail
  • Ability to organize and manage multiple priorities and meet deadlines in an ever-changing environment
