We are looking for a detail-oriented and dependable Legal Assistant to join our Estate Planning Practice Group. This onsite role is best suited for a highly organized, proactive professional who is comfortable handling sensitive legal and financial information while contributing to a collaborative, service-oriented environment. This position is designed to support the delivery of consistent, high-quality client service across the firm’s foundational estate planning practice and to reinforce the firm’s standards for quality, consistency, and accountability in client service.


On a day-to-day basis, the Legal Assistant works under the direction of attorneys and other members of the practice group to whom they are assigned. This position supports the delivery of quality legal services to clients by providing secretarial and administrative assistance, performing complex and specialized secretarial and clerical tasks, and collaborating with other team members.


This role supports multiple attorneys as primary assignments and also provides back-up administrative assistance to other members of the Estate Planning Practice Group as needed. Attorney assignments may evolve over time based on practice needs, and the role is structured to provide flexibility in coverage and workload balancing across the practice group. This role includes intentional cross-training and designated back-up responsibility for core estate planning coordination functions to ensure continuity of workflow and uninterrupted client service.

Key Responsibilities

  • Provide administrative and legal support to assigned attorneys and the Estate Planning Practice Group
  • Prepare and distribute engagement letters, schedule meetings, and maintain attorney calendars
  • Assist with client inquiries and provide information in a professional manner consistent with the firm’s standards for responsiveness, professionalism, and client service
  • Track follow-ups and maintain timely, organized client communication
  • Prepare, process, and coordinate outgoing mail and correspondence
  • Assist attorneys and paralegals with preparing and finalizing client-ready estate planning, trust, estate administration, business succession, and related legal documents including wills, trusts, powers of attorney, wealth transfer planning documents, and ancillary supporting materials
  • Perform accurate data entry and maintain up-to-date client and matter records in accordance with firm procedures and quality control standards
  • Handle general office and clerical duties, including scanning, filing, copying, and document organization
  • Answer and route incoming telephone calls to the appropriate personnel
  • Provide back-up support to Receptionist as needed, including preparing conference rooms for meetings and assisting with Smartboard and video-conferencing setup
  • Provide back-up support to the Estate Planning Coordinator as needed, including cross-training in estate planning intake, document execution coordination, and related workflow processes, to ensure continuity of service and adherence to practice standards
Requirements:
  • In-office attendance required
  • At least 5 years of legal administrative or legal assistant experience, preferably in an estate planning, probate, tax, private wealth, or business law practice
  • Strong attention to detail, initiative, and a positive, professional attitude, with the ability to exercise sound judgment in managing priorities and client-facing tasks
  • Exceptional organizational and time management skills, with the ability to manage multiple assignments and deadlines in a fast-paced environment
  • Knowledge of legal terminology, legal documents, and law firm procedures
  • Strong written and verbal communication skills and a commitment to providing outstanding client service
  • Ability to maintain confidentiality and handle sensitive client and firm information with discretion and professionalism
  • Proficiency in Microsoft 365 applications and related software tools
  • Experience with legal practice management and document management software preferred
  • Proficiency in Microsoft 365 and related software tools
