Key Responsibilities:
- Professionally answer, screen, and direct incoming calls.
- Greet and assist clients, candidates, vendors, and employees with warmth and professionalism.
- Maintain digital and physical filing systems with accuracy and confidentiality.
- Manage and organize shared inboxes and assist with email correspondence.
- Order and track office supplies for multiple locations while adhering to budget guidelines.
- Maintain kitchen organization, inventory, and cleanliness standards.
- Coordinate and distribute deliveries, ensuring packages are routed appropriately.
- Handle faxing, scanning, copying, and document preparation.
- Assist with data entry, reporting, and document management.
- Support onboarding logistics and candidate check-ins as needed.
- Coordinate employee birthday club orders and internal office celebrations.
- Contact vendors for events, maintenance, and operational needs.
- Run occasional business-related errands.
- Support leadership with scheduling, calendar coordination, meeting preparation, and special projects.
- Maintain strict confidentiality when handling sensitive company and employee information.
- Provide general administrative support to multiple departments as assigned.
Qualifications:
- Minimum 1–2 years of recruiting or candidate sourcing experience required
- Experience sourcing candidates rather than relying solely on incoming applications
- Experience conducting phone screens and evaluating candidate qualifications
- Comfortable managing multiple openings and a high-volume candidate pipeline
- Strong phone, written, and interpersonal communication skills
- Strong organization and follow-up skills
- Ability to work independently while following established recruiting processes
- Comfortable working toward daily and weekly recruiting goals
- Experience using job boards, LinkedIn, ATS platforms, and other sourcing tools
- High-volume, call center, staffing agency, sales, or entry-level recruiting experience strongly preferred
