Please note, this position is based on-site at our family-friendly clinic and is not available for remote work. Duties and Responsibilities- Maintain detailed appointment schedules ensuring optimal use of practitioner time and a smooth patient flow.
- Handle patient check-in and check-out procedures efficiently, including managing patient records and updating databases with patient information.
- Provide exceptional customer service, addressing patient inquiries with empathy and professionalism.
- Coordinate with dental staff to manage office operations, ensuring resource availability and resolving scheduling conflicts promptly.
- Manage office supplies, equipment orders, and inventory control, ensuring essential materials are always available.
- Process insurance claims, payments, and billing operations accurately and promptly.
- Develop and implement office policies and procedures to uphold compliance with healthcare regulations.
- Train, guide, and oversee front office staff, fostering a collaborative environment and ensuring a high standard of work.
- Prepare regular reports on office activity, including staffing, budget adherence, and patient feedback, to inform management decisions.
- Implement effective patient communication strategies, such as appointment reminders via phone, email, or text, to reduce no-show rates.
- Uphold a clean, organized, and inviting office environment conducive to comfort and privacy for patients and staff.
- Proven experience as a Front Desk Scheduler, Office Manager, or similar role in a dental or healthcare facility.
- Strong understanding of dental office procedures and terminology.
- Excellent organizational skills with the ability to prioritize tasks and handle multiple tasks simultaneously.
- Outstanding communication and interpersonal skills, with an emphasis on customer service.
- Proficiency in dental office software (e.g., Dentrix, Eaglesoft) and MS Office (Word, Excel).
- Experience with managing staff, including hiring, training, and performance evaluation.
- Detailed knowledge of insurance policies, claims processing, and billing procedures in a dental context.
- Ability to maintain confidentiality of sensitive patient data in compliance with HIPAA regulations.
- Strong problem-solving skills and the ability to make decisions under pressure.
- High attention to detail and accuracy in financial and operational matters.
- Educational background in healthcare administration, business administration, or relevant field preferred.
