Case Manager
Job Description
About the Role
SchoolHouse Staffing is hiring an organized, detail-driven Special Education Case Manager (LBS1) to lead special education compliance at a partner school serving grades K–8 in Chicago, IL. This is an in-person, full-time role for a licensed professional who thrives on systems, deadlines, and getting the details right for every student.
As Case Manager, you'll own the school's IDEA compliance — making sure every timeline is met and every plan is current — while managing a caseload of approximately 95 students with IEPs and Section 504 plans across grades K–8. You'll be the central point of coordination between teachers, related-service providers, families, and administrators. If you're the person who keeps everyone on track and never lets a deadline slip, this role is built for you.
What You'll Do
- Own overall special education compliance for the school, ensuring all IDEA timelines — evaluations, re-evaluations, annual reviews, and eligibility determinations — are met on schedule.
- Manage a caseload of approximately 95 students with IEPs and Section 504 plans across grades K–8.
- Coordinate, schedule, and facilitate IEP and 504 meetings, ensuring proper notice, participation, and documentation.
- Maintain accurate, audit-ready records and documentation in the school's IEP/student information systems.
- Track compliance timelines proactively, flagging upcoming deadlines to teachers, providers, and administrators before they come due.
- Serve as the primary point of contact for families, staff, and related-service providers on IEP and 504 matters.
- Support eligibility determinations and re-evaluations in compliance with IDEA, Section 504, and Illinois state requirements.
- Collaborate with teachers and related-service providers to ensure services are delivered as written in each plan.
- Prepare for and support district/state reporting and special education compliance audits.
What You'll Need (Required)
- Illinois Professional Educator License (PEL) — required.
- LBS1 (Learning Behavior Specialist 1) endorsement — required.
- Strong working knowledge of IDEA, Section 504, and Illinois special education compliance and timelines.
- Exceptional organization, attention to detail, and ability to manage a high-volume caseload under deadline.
- Ability to work in person, full-time (40 hours/week) at a Chicago-area campus.
- Excellent communication and coordination skills with students, families, colleagues, and administrators.
Nice to Have (Preferred)
- Prior special education case management or IEP/504 coordination experience.
- Experience facilitating IEP meetings and managing eligibility/re-evaluation processes.
- Proficiency with IEP management and student information systems.
- Experience across K–8 grade levels.
- Bilingual (English/Spanish) a plus.
Why You'll Want to Join Us
- A leadership-level role central to the school's special education program and student outcomes.
- Ownership and autonomy — you run the compliance engine for the whole school.
- A collaborative environment with teachers, related-service providers, and administrators who rely on and support you.
- Full-time stability with a clear, defined scope and the backing to do it well.
