Demands & Liens Administrative Assistant (Bilingual Spanish)
Pay: $24.00 – $28.00 per hour Location: Costa Mesa, CA — 100% in-office Schedule: Monday–Friday, 8-hour shift, full-time
A modern personal injury and accident law firm is seeking a bilingual Demands & Liens Administrative Assistant to support its settlement and lien resolution teams. This role serves as a key administrative partner handling client communication, settlement processing, disbursement reviews, adjuster correspondence, and case management support.
What You'll Do & Bring:
- Provide daily administrative and operational support to the Demands and Liens teams
- Communicate with clients in both English and Spanish on settlement matters and case updates
- Review financial disbursements for accuracy prior to processing
- Coordinate with the Accounting Department on settlement funds and disbursements
- Communicate with insurance adjusters regarding releases, checks, and outstanding documentation
- Track settlement checks, releases, and correspondence to ensure timely resolution
- Maintain accurate case data and organized electronic files within CasePeer
- Assist with preparing and mailing settlement checks and related documents
- Fluent in English and Spanish (required)
- Prior experience in a law firm, insurance, medical office, or professional administrative setting preferred
- Strong attention to detail, organization, and numerical accuracy
- Excellent verbal and written communication with a professional, discreet approach to confidential information
- Strong customer service skills, including de-escalation with difficult clients
- Proficient in Microsoft Office and data entry systems; CasePeer experience a plus
- Comfortable thriving in a fast-paced, team-oriented environment
