Location: Onsite – CLJ Corporate Office, Waldorf, MD
Work Schedule: Monday – Friday, 8:00 AM – 5:00 PM
Pay Rate: $23-$25 per hour

Position Summary

CLJ Consulting and Contracting LLC is seeking a Transcript Processing Specialist to support National Transcription Copy (NTC) operations at our corporate office. This role provides comprehensive transcript acquisition, management, and delivery support to attorneys nationwide.

The Transcript Processing Specialist plays a critical role in ensuring timely, accurate, and compliant access to deposition transcripts, hearing records, court proceedings, and other official transcripts required for investigations, litigation, enforcement actions, and administrative proceedings. This position serves as a centralized point of contact for transcript-related requests and works closely with court reporters, transcription vendors, and internal legal stakeholders.


Key Responsibilities
  • Receive, review, and process transcript requests from attorneys and legal staff nationwide
  • Coordinate with federal and state courts, court reporting agencies, deposition vendors, and transcription services to obtain certified transcripts and exhibits
  • Track transcript orders from request through final delivery, ensuring deadlines, rush requirements, and format specifications are met
  • Maintain accurate logs and databases of transcript requests, statuses, costs, and delivery confirmations
  • Review transcript requests for completeness, accuracy, certification, and compliance with applicable requirements
  • Verify case details including case numbers, party names, witness identification, exhibit references, and pagination
  • Perform quality control checks to ensure completeness, accuracy, and formatting of transcripts and related documentation
  • Ensure proper handling and safeguarding of personally identifiable information (PII) and sensitive legal materials
  • Serve as the primary point of contact for attorneys regarding transcript requests, status updates, corrections, and issue resolution
  • Coordinate with paralegals, investigators, and litigation support staff to ensure timely delivery of transcripts in required formats
  • Upload, store, and index transcripts within designated document or case management systems
  • Maintain proper naming conventions, metadata tagging, and version control
  • Monitor request status, deadlines, and fulfillment timelines
  • Assist with cost tracking and reporting related to transcript services
  • Prepare correspondence, logs, and internal documentation as needed
  • Sort, scan, copy, and electronically file transcription records
  • Maintain organized electronic and physical filing systems
  • Perform general administrative and clerical support as assigned

Required Qualifications
  • High School Diploma or equivalent
  • Minimum 1–2 years of administrative, clerical, or document processing experience
  • Strong attention to detail and organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to manage high-volume workflows and meet strict deadlines
  • Strong written and verbal communication skills
  • Ability to handle sensitive and confidential information with discretion
  • Ability to work independently and as part of a team

Preferred Qualifications
  • Experience supporting legal, litigation, or records management environments
  • Familiarity with transcript processing, court records, or legal documentation
  • Experience working with document management or case management systems
  • Experience coordinating with external vendors or service providers
  • Strong time management and deadline tracking experience
