Job Title: Accounts Payable (AP) & Unit ClerkLocation: Dumont Center for RehabDepartment: Administration / NursingReports To: Administrator / Director of NursingPosition SummaryThe Accounts Payable (AP) & Unit Clerk is responsible for supporting both the financial operations and daily administrative functions of the nursing unit. This dual-role position ensures timely processing of invoices, accurate record-keeping, and efficient coordination of clerical duties to support nursing staff and resident care.
Key ResponsibilitiesAccounts Payable Duties
Process and verify invoices for accuracy, proper authorization, and compliance with facility policies
Enter invoices into accounting system and ensure timely payment
Reconcile vendor statements and resolve discrepancies
Maintain organized financial records and filing systems
Communicate with vendors regarding billing inquiries
Assist with month-end closing and reporting tasks
Track expenses and support budget monitoring
Unit Clerk Duties
Provide clerical support to nursing staff and unit operations
Maintain resident records, charts, and documentation in compliance with regulations
Answer phones, direct calls, and greet visitors in a professional manner
Coordinate communication between departments, staff, residents, and families
Schedule appointments, tests, and transportation for residents
Assist with admissions, transfers, and discharges documentation
High school diploma or equivalent required; associate degree preferred
Prior experience in accounts payable, healthcare administration, or clerical support preferred
Knowledge of basic accounting principles and office procedures
Familiarity with electronic health records (EHR) and accounting software is a plus
Strong organizational and multitasking skills
Excellent communication and interpersonal skills
Ability to handle sensitive information with confidentiality (HIPAA compliance)
Fast-paced nursing home or long-term care setting
Frequent interaction with staff, residents, and families
Combination of desk work and on-unit administrative support
Ability to sit, stand, and walk for extended periods
Great computer skills
