O Museum in The Mansion is looking for an energetic, personable, highly capable Event Operations & Guest Experience Coordinator to serve as the onsite right hand to the Director of Events.This is a hands-on, on-your-feet position for someone who thrives on making things happen. You will help take events from site visit through execution-helping to coordinate the people, spaces, details, and moving parts that create an exceptional experience.You will work across the organization with our kitchen, docents, guest services team, clients, vendors and other teammates. You should be someone who notices what needs to happen, communicates clearly, solves problems quickly and isn't afraid to roll up your sleeves and jump in.When events are not taking place, you'll be part of the Museum's guest experience-welcoming visitors, assisting with tours, building relationships and helping guests discover the possibilities for hosting their own events at O Museum. Candidates must be willing and able to work early mornings, days, evenings, weekends, holidays, and other nontraditional hours as events require. Event Planning & PreparationWork closely with the Director of Events to help execute events from beginning to end.Participate in site visits, client walkthroughs, and pre-event meetings.Learn the details and requirements of each event and help translate plans into onsite execution.Coordinate event needs across the kitchen, docents, guest services, vendors, and other teammates.Help prepare event spaces, including furniture, décor, signage, supplies, food and beverage areas, and other event elements.Communicate changes, special requests, and important details to the appropriate team members.Anticipate needs and identify potential issues before an event begins.Onsite Event ExecutionBe onsite and actively involved in setup, the event itself, breakdown, and closeout.Welcome clients and guests and provide exceptional hospitality.Coordinate with vendors, caterers, entertainers, and other event partners.Help manage guest flow, food and beverage service, room transitions, tours, and other event activities.Monitor events closely and respond quickly when something needs attention.Troubleshoot unexpected issues calmly and resourcefully.Pitch in wherever needed-from moving a chair to assisting a VIP-to keep the event running smoothly.Help reset event spaces and stay until the work is finished.Guest Experience & Relationship DevelopmentWelcome guests and make them feel genuinely comfortable and appreciated.Assist with tours and learn the Museum well enough to speak about it with enthusiasm and confidence.Engage visitors in conversation, ask questions, and listen.Naturally introduce guests to the possibilities for hosting private events, celebrations, meetings, and other gatherings at O Museum.Recognize potential event opportunities, create genuine connections, and pass promising leads to the Director of Events.
