The Operations & Administrative Manager serves as a critical member of our support team, helping ensure the efficient operation of our administrative, logistics, fleet, HR, and office functions.The ideal candidate is highly organized, detail-oriented, comfortable working independently, and capable of balancing multiple priorities in a fast-paced environment. This role is perfect for someone who enjoys problem-solving, improving processes, and helping an organization run smoothly.This is an in-office position based at our Durham, NC headquarters. Remote work is not available. Candidates outside the area must be willing to relocate at their own expense.Key Responsibilities:Administrative & Office OperationsProvide administrative support to company leadership and operational teamsManage company correspondence, including mail, email, phone messages, and general inquiriesMaintain office, warehouse, and employee supply inventoriesOrganize and maintain physical and electronic recordsAssist with employee onboarding and offboarding activitiesHandle sensitive and confidential information with professionalism and discretionServe as a professional point of contact for employees, vendors, customers, and business partnersOperations, Fleet & Logistics SupportCoordinate and track vehicle maintenance schedules, fleet records, expenses, invoices, and documentationAssist with fleet logistics, towing requests, service appointments, and operational support needsMonitor communications related to collection sites, field operations, maintenance needs, and priority issuesMaintain accurate records within company databases, spreadsheets, and operational systemsGenerate reports and assist with invoicing, data entry, and operational trackingSupport process improvements that increase efficiency and organizationHuman Resources SupportAssist with employee documentation and personnel record maintenanceSupport hiring, onboarding, equipment assignment, and payroll-related administrative functionsHelp ensure accurate recordkeeping and compliance with company proceduresQualifications:RequiredMinimum of 1 year of administrative, office, operations, logistics, or related experienceStrong proficiency in Microsoft Outlook, Word, and ExcelOutstanding organizational and time-management skillsExcellent written and verbal communication abilitiesAbility to manage multiple priorities and meet deadlines with minimal supervisionHigh level of professionalism, confidentiality, and attention to detailStrong problem-solving skills and a proactive approach to workPreferred3+ years of administrative, operations, or office management experienceBachelor's degree or equivalent combination of education and experienceExperience supporting logistics, transportation, warehouse, or fleet operationsExperience with invoicing, expense tracking, permits, lease administration, or vehicle maintenance recordsAbility to learn new systems and technology quicklyExperience working in a fast-paced environment with changing prioritiesWhat Success Looks Like:The successful candidate will be someone who takes ownership, communicates effectively, stays organized under pressure, and consistently helps move the business forward.
