The Payroll Administrator owns end-to-end payroll processing for American Portfolio Mortgage’s multi-state workforce. This function has full accountability for accuracy, timeliness, and compliance across all pay groups – including hourly, salaried, and incentive compensated employees. The role sits within Accounting and partners closely with People Operations, Branch Operations, and Senior Leadership on compensation execution, reporting, and compliance.

Key Responsibilities


Payroll:

  • Administer full-cycle, semi-monthly payroll for all employees across multiple states.
  • Review and reconcile timekeeping data before each processing deadline; coordinate with People Operations on the accurate and timely completion of new hire setup, terminations, pay changes, and mid-cycle updates.
  • Process all compensation components – salary, hourly, and variable/commission pay including Loan Originator compensation – based on employee records and pay changes managed by People Operations.
  • Serve as the primary administrator for CompenSafe, maintaining commission and bonus plans in the system to reflect each employee’s current compensation agreement or amendment; conduct regular audits to ensure plan configurations are accurate and producing correct results
  • Maintain state and local tax registrations across all active jurisdictions; ensure withholding, SUI, and local tax calculations remain current and compliant across all states.
  • Oversee quarterly and year-end tax filings and W-2 preparation and delivery.
  • Serve as the first point of contact for employee pay questions, maintaining accuracy and strict confidentiality; identify and escalate HRIS discrepancies to People Operations or the appropriate vendor contact.

Accounting:

  • Produce payroll reports for Accounting including labor cost summaries, GL journal entries, and reconciliations.
  • Support month-end, year-end close, and audit requests.
  • Post the payroll GL journal entries and commission/bonus accruals.
  • Review and approve the expense reimbursements through Paylocity.
  • Balance sheet account reconciliations.

Qualifications


Required:

  • 3+ years of full-cycle payroll processing experience, including multi-state payroll
  • Experience processing payroll within Paylocity or a comparable enterprise payroll platform
  • Working knowledge of federal payroll tax law and multi-state wage and hour compliance
  • Demonstrated ability to manage payroll independently with minimal supervision
  • Strong Excel skills and comfort with payroll reconciliation and reporting
  • High degree of accuracy, discretion, and ownership mentality

Preferred:

  • Experience in mortgage banking, financial services, or another heavily regulated industry
  • Familiarity with incentive compensation administration, including commission and bonus plan setup and auditing, within a lending or financial services environment
  • Prior experience with CompenSafe or a comparable incentive compensation platform

Education/Certifications

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Equivalent combination of education and directly relevant work experience will be considered in lieu of a degree.
