Position SummaryThe AP/AR Assistant supports Accounts Payable and Accounts Receivable operations by processing invoices, payments, deposits, reconciliations, and financial records. This position provides support to vendors, patients, payers, and internal departments while maintaining accurate, timely, and confidential financial information.Key Responsibilities
- Process and reconcile daily deposits, payments, remittances, and EFTs.
- Research and resolve account, payment, and billing discrepancies.
- Respond to patient, payer, vendor, and internal billing inquiries.
- Process, code, and reconcile invoices for timely payment.
- Maintain vendor records, including W-9s and insurance documentation.
- Prepare check runs and ACH payments.
- Reconcile vendor statements and assist with AP aging and accruals.
- Support cash posting, month-end/year-end close, audits, 1099 reporting, and financial reporting.
- Maintain organized and compliant financial documentation.
- Collaborate with Finance, Revenue Cycle, Purchasing, leadership, vendors, and patients.
- Handle financial and patient information with strict confidentiality.
- Perform duties in accordance with organizational policies and fiduciary responsibilities.
- High school diploma or equivalent required; degree in Accounting, Business, or related field preferred.
- 2–3 years of AP, AR, or general accounting experience preferred.
- Healthcare finance or medical billing experience strongly preferred.
- Ability to read, write, follow instructions, and type at least 35 WPM.
- Strong attention to detail, organization, communication, and problem-solving skills.
- Ability to work effectively as part of a team and communicate professionally in sensitive situations.
- Must be available Monday–Friday, 7:00 AM–5:00 PM.
- Primarily sedentary office work with extended periods of computer use.
- Frequent use of computers, phones, and office equipment.
- Occasional lifting/moving of files or materials up to approximately 20–40 lbs.
- Standard, well-ventilated office environment.
