Job Description:
We are seeking an experienced contract Benefits Administrator with a strong background in benefits administration to join a growing HR team. This individual will take ownership of day-to-day benefits activities while also supporting leave administration, employee relations, compliance, HR operations, and employee engagement.
The ideal candidate is highly knowledgeable in employee benefits and comfortable independently answering employee questions, working with benefit providers, managing leave programs, and ensuring HR processes remain accurate and compliant.
Key Responsibilities:
- Oversee employee benefit programs, including medical, dental, vision, life insurance, disability, retirement, and voluntary offerings.
- Provide benefits education to new employees and assist with benefits enrollment during onboarding.
- Coordinate annual open enrollment activities, including employee communications, informational sessions, and enrollment assistance.
- Manage benefit updates related to qualifying life events and other employee changes.
- Review benefit invoices and payroll deductions to identify and resolve discrepancies.
- Partner directly with insurance carriers, brokers, and other benefits vendors.
- Serve as a knowledgeable point of contact for employees with benefits-related questions.
- Coordinate employee leave programs, including FMLA, ADA accommodations, paid and personal leave, military leave, and workers' compensation.
- Maintain accurate and confidential leave documentation while tracking employee status and return-to-work information.
- Provide guidance to employees and managers regarding workplace concerns, policies, and HR procedures.
- Assist with employee relations matters, investigations, coaching, corrective actions, and performance documentation.
- Help maintain compliance with applicable federal, state, and local employment requirements.
- Keep personnel records organized, accurate, confidential, and prepared for audits.
- Track required employee training, certifications, and other compliance-related documentation.
- Assist with onboarding, offboarding, employment changes, and general employee lifecycle processes.
- Update employee information and employment changes within the HRIS.
- Support HR reporting, data analysis, audits, payroll coordination, unemployment claims, and employment verifications.
- Assist with performance review cycles, development plans, and performance improvement documentation.
- Contribute to employee recognition, wellness, engagement, and workplace culture initiatives.
- Develop HR procedures and documentation while assisting with additional People & Culture projects as needed.
Qualifications:
- Approximately 5+ years of progressive HR or People & Culture experience preferred.
- At least 2 years of hands-on employee benefits administration experience required.
- Strong working knowledge of benefit plans and the ability to confidently explain coverage and programs to employees.
- Previous experience administering employee leaves, including FMLA, ADA, and workers' compensation.
- Familiarity with COBRA, HIPAA, ACA, EEOC, wage and hour requirements, and other applicable employment regulations.
- HRIS experience required; Paylocity experience is a plus.
- Experience supporting employee relations matters and workplace investigations is preferred.
- Nonprofit, healthcare, or human services experience is a plus.
- Excellent organizational skills with the ability to manage competing priorities and deadlines.
- Strong attention to detail and commitment to maintaining confidential employee information.
- Effective written, verbal, and interpersonal communication skills.
- Strong critical-thinking, problem-solving, and conflict-resolution abilities.
- Proficiency with Microsoft Office Suite.
- Bilingual English/Spanish skills are a plus but not required.
- SHRM-CP, SHRM-SCP, PHR, or SPHR certification is preferred but not required.
Additional Details:
- This position is being added to provide additional support to a growing People & Culture team.
- The individual will manage benefits responsibilities across multiple affiliated organizations, including plans that currently vary between entities.
- Occasional travel to other local organizational sites may be required.
- This is a fully on-site position in Chicago.
