Job Summary
We're a locally-owned sign company specializing in high-quality custom signage for businesses across the region. From design to fabrication and installation, we take pride in delivering creative, professional signage solutions — and we're looking for a dependable, organized Administrative Assistant who wants more than just a job.

This role is the entry point into our project management career path. You'll start by supporting daily operations, customer communication, and project documentation — the same foundational skills our Project Coordinators use every day to manage signage projects from concept through installation. As you grow into the role, you'll take on more responsibility for scheduling, estimates, and client coordination, with a clear track toward a Project Coordinator position for the right person.

This is a full-time, on-site role in a friendly, collaborative environment where initiative and attention to detail get noticed.

Responsibilities


  • Answer and direct phone calls and emails in a professional and courteous manner
  • Greet and assist customers and visitors, building the client-facing communication skills central to project coordination
  • Create and maintain customer files, job folders, and project documentation
  • Help prepare quotes, invoices, work orders, and basic reports — the same paperwork Project Coordinators manage daily
  • Coordinate schedules for site surveys and installations
  • Support project tracking and internal communication between our production, design, and installation teams
  • Order office and production supplies as needed
  • Assist with social media updates or website content (optional, based on skills)
  • As skills develop, take on increasing ownership of smaller scheduling and coordination tasks — the first step toward independently managing projects
Qualifications


  • High school diploma or equivalent (Associate's degree is a plus)
  • Previous experience in an administrative, office, or customer service role. Experience in a sign or printing company is a plus.
  • Proficiency in Microsoft Office (Word, Excel, Outlook); experience with QuickBooks a plus
  • Strong organizational skills with attention to detail — this matters as much here as it does in project coordination
  • Excellent verbal and written communication skills
  • Ability to multitask, prioritize, and work independently in a small team environment
  • A genuine interest in growing into a larger role — we're specifically looking for someone who's ambitious about where this position can lead
  • Friendly, positive attitude and willingness to learn the signage industry
  • Driver's license and a dependable vehicle required
