JOB DESCRIPTION

The Proposals and Events Manager will lead the Firm’s proposals development efforts, coordinate strategic conferences and events, and help drive business development opportunities through effective project management and cross-functional collaboration.


We are seeking an experienced Legal RFP & Proposal Specialist to support a law firm’s business development and marketing efforts by managing the preparation, coordination, and submission of Requests for Proposals (RFPs), Requests for Qualifications (RFQs), pitches, and other client-facing proposals.

The ideal candidate will have experience working in a law firm, professional services environment, or corporate legal setting and understand the unique requirements of responding to legal RFPs. This role requires exceptional writing, project management, organization, and attention to detail.

Proposals & Business Development

  • Serve as the Firm’s primary point of contact or Request for Proposals (RFPs), Request for Qualifications (RFQs), and other competitive procurement opportunities.
  • Manage the proposal process from opportunities identification through final submission, ensuring compliance with all requirements and deadlines.
  • Research agency priorities, initiatives, procurement trends, and client needs to support proposal strategy and content development. Collaborate with attorneys and firm leadership to develop compelling proposals, presentations, interview materials, and related business development content.
  • Oversee the submission of both hard-bound and electronic copies of proposals, ensuring they meet all specifications and deadlines.
  • Maintain and update proposal templates, experience narratives, project descriptions, resumes, and other proposal resources.
  • Maintain proposal calendars and ensure timely completion of all deliverables.
  • Track proposal activity, outcomes, and key metrics to identify trends and opportunities for process improvements.
  • Support business development initiatives by coordinating follow-up activities, client outreach efforts, and strategic pursuit planning.
  • Evaluate and implement tools, technology, and best practices to improve proposal efficiency and effectiveness.

Firm Events Coordination

  • Plan and execute firm-sponsored events, including attorney retreats, partner meetings, client receptions, holiday celebrations, internal meetings,, and employee engagement activities, including hiring outside event planning support as needed.
  • Coordinate event logistics including venue selection, catering, transportation, audiovisual needs, registration, attendee communications, and hospitality arrangements.
  • Organize employee recognition and culture-building activities, including birthday celebrations, potlucks, holiday events, and other firm-sponsored employee engagement programs.
  • Plan and coordinate office-wide events and seasonal celebrations, including holiday parties, Halloween activities, employee appreciation events, and other initiatives that support firm culture and morale.
  • Coordinate the selection, ordering, and delivery of client gifts, flowers, sympathy arrangements, and other client appreciation items in support of relationship management and client service initiatives.
  • Develop event timelines, project plans, and budgets to ensure successful execution.
  • Partner with firm leadership to ensure events align with organizational objectives, culture, and client engagement goals.
  • Manage vendor relationships and negotiate services to maximize value and quality.
  • Conduct post-event evaluations and recommend improvements for future programs and events.


Conference Event Management

  • Manage the firm's participation in industry conferences, association meetings, and professional events.
  • Coordinate conference registrations, sponsorships, speaking opportunities, exhibitor activities, and attendee logistics.
  • Work with attorneys and leadership to identify strategic conferences and networking opportunities that support the firm's business development objectives.
  • Plan and execute conference-related client dinners, receptions, networking events, and hospitality functions.
  • Coordinate conference materials, presentations, promotional items, and attendee communications.
  • Maintain annual conference calendars and budgets while tracking participation and return on investment.
  • Support post-conference follow-up activities and relationship-building efforts with clients, prospects, and industry partners.
  • Facilitate travel arrangements for conference attendees.



Qualifications

  • Bachelor’s degree in Marketing, Communications, English, Business, or a related field preferred.
  • 3+ years of experience in RFP/proposal development, preferably within a law firm or professional services organization.
  • Strong understanding of the legal industry and law firm business development processes.
  • Exceptional writing, editing, proofreading, and communication skills.
  • Excellent project management and organizational abilities.
  • Strong attention to detail and ability to manage multiple deadlines.
  • Proficiency with Microsoft Office, particularly Word and PowerPoint.
  • Experience with CRM, proposal management, or knowledge management systems is a plus.
  • Ability to work effectively with attorneys and senior-level professionals.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices

Ideal Candidate

The successful candidate will be a highly organized, proactive, and polished professional who can manage the details of multiple RFPs while producing compelling, persuasive content. The candidate should be comfortable working directly with attorneys and firm leadership and have the judgment to identify what information will make a proposal more competitive.

Law firm RFP experience is strongly preferred.
