We're a growing estate planning law firm in the South Bay (Los Angeles) area looking for an outstanding Client Services & Legal Assistant to join our team.

Are you outgoing, organized, detail-oriented, and passionate about helping others? This is a great entry-level opportunity for someone who enjoys working with people while also taking pride in keeping documents, files, and administrative processes organized and accurate.

Our ideal candidate will be the first point of contact for clients and prospective clients, greeting and assisting them over the phone, by email, and in person. This person will also provide important administrative support to our legal team, including scanning and organizing documents, maintaining client files, updating matter notes in Actionstep, preparing mailings, and helping ensure that important tasks and communications do not fall through the cracks.

We are looking for someone who wants to go the extra mile when assisting clients and colleagues alike. The right candidate will have excellent attention to detail, strong follow-through, and the ability to manage a variety of responsibilities in a timely and professional manner.

Compensation:

$24 - $27 hourly


Responsibilities:
  • Serve as a first point of contact for the firm, handling incoming calls, emails, messages, and visitors in a warm and professional manner

  • Answer incoming telephone calls, assist callers when appropriate, accurately take messages, and ensure important information reaches the appropriate team member

  • Greet clients and visitors when they arrive at the office and help create a welcoming and professional client experience

  • Conduct initial intake calls with prospective clients and gather the information needed for the firm's intake process

  • Create and maintain prospective client profiles and communicate relevant intake information to the appropriate team members

  • Collaborate with the internal team to ensure prospective and current client questions are handled appropriately and in a timely manner

  • Accurately memorialize telephone calls, client communications, and other important interactions in Actionstep, the firm's practice-management system

  • Scan incoming documents and ensure they are properly saved to the appropriate client or matter file

  • Name, organize, upload, and file electronic documents according to the firm's established file-management procedures

  • Maintain accurate and organized electronic client and matter files

  • Process incoming mail and promptly route documents and correspondence to the appropriate team member

  • Prepare and send outgoing mail, notices, routine correspondence, and other documents as directed

  • Assist with printing, copying, scanning, assembling, and mailing client documents

  • Help track outstanding documents, follow-up items, client requests, and administrative tasks

  • Schedule appointments and assist with maintaining calendars as needed

  • Follow established procedures, checklists, and workflows carefully and consistently

  • Provide general administrative and legal support to attorneys and other members of the team as needed


Qualifications:
  • Proficient with MS Office products
  • Candidates should be able to type at least 50 words per minute
  • Associate's Degree or Bachelor's Degree preferred

  • Prior experience in a client-facing, customer service, administrative, or professional office role preferred

  • Excellent verbal and written communication skills

  • Friendly, professional, and confident communicating with clients by telephone, email, and in person

  • Strong organizational skills and exceptional attention to detail

  • Ability to manage multiple responsibilities while maintaining accuracy and follow-through

  • Comfortable performing detailed and sometimes repetitive administrative tasks, including scanning, document naming, filing, data entry, and mailing

  • Comfortable learning and using technology and practice-management software

  • Ability to maintain confidentiality and exercise good judgment when handling sensitive client information

  • Reliable, proactive, and willing to take ownership of tasks through completion

  • Ability to work both independently and collaboratively as part of a team

  • Prior law firm experience is helpful but not required
