Overview: Our client, a nonprofit organization focused on education, support, and advocacy for public health professionals, organizations, and businesses, is seeking a temporary Event Coordinator to support their upcoming annual conference in Keystone, 9/22 – 9/24. The Public Health in the Rockies (PHiR) conference is designed to build a more competent public health workforce by providing education, networking, and skill development for students and established professionals in Colorado and neighboring regions.
The 2026 theme, Stronger Together: Public Health in the Heart of the Rockies, focuses on how collective action, cultural humility, and inclusive leadership strengthen resilience and well-being.
This position reports to the Planning Committee and is responsible for bringing the 2026 PHiR Conference to life and ensuring the seamless planning, coordination, and execution of the event.
The ideal candidate will provide comprehensive logistical support before the conference (speaker coordination, sponsor liaison, registration management, and vendor logistics) and dynamic, hands-on support during the conference (on-site management, troubleshooting, and attendee experience).
The Event Coordinator must live in Colorado. Use of your own personal laptop/computer is required.
Schedule:
- Up to 30 hours per week – flexible on days and hours - Remote
- On-site work in Keystone for the conference, Monday, 9/21 – Thursday, 9/24 – 40 hours for the week of the conference.
- Travel to/from Keystone and on-site lodging/meal will be covered by the client during the conference
- Length: until the end of September
Duties:
Pre-Conference Support (Planning & Logistics):
- Logistics & Venue Coordination: Attend Planning Committee Meetings. Support may include working with Keystone Resorts on A/V requirements, catering, and lodging room blocks. Communicate with presenters.
- Registration Management: Oversee the attendee registration platform. Answer attendee inquiries, process cancellations/refunds, and manage nametag and lanyard printing.
- Sponsorship & Exhibitor Liaison: Serve as the primary point of contact for conference sponsors (e.g., The Colorado Trust, Colorado School of Public Health, Colorado Access, etc.). Coordinate their deliverables and booth assignments.
- Marketing & Communications: Assist the PHiR Committee with drafting attendee communications, updating the conference app, and creating "know before you go" materials.
- Volunteer Coordination: Schedule volunteers for on-site roles (e.g., registration desk, session monitoring, directional guides).
During Conference Support (On-Site Execution):
- On-Site Management: Serve as the main point of contact for venue staff, A/V technicians, and catering teams to ensure the schedule stays on track.
- Registration Check-In: Oversee the registration desk, ensuring a welcoming, organized, and efficient check-in process for all attendees, sponsors, and VIPs.
- Speaker & Session Support: Ensure session moderators/speakers have what they need before each session begins.
- Sponsor/Exhibitor Support: Greet exhibitors upon arrival, assist with load-in/load-out, and ensure their booth spaces are adequately equipped.
- Silent Auction Logistics: Support PHiR volunteers with setup and payment processing for the silent auction.
- Accessibility & Inclusion: Ensure that all accessibility and inclusive practices (such as gender-neutral restrooms, quiet rooms, and ADA accommodations) are properly executed on-site.
Post-Conference:
- Manage the teardown and shipping of event materials.
- Send out post-event surveys and certificates for Continuing Health Education Specialists (CHES) credits.
- Compile a post-event report summarizing attendance, survey feedback, and logistical "lessons learned" for the 2027 committee
Qualifications:
- Experience: 2+ years of experience in event planning, conference coordination, or project management (experience with non-profits, associations, or public health events is a major plus).
- Alignment with Mission: A demonstrated understanding of and commitment to health equity, cultural humility, and anti-racism.
- Technical Skills: Proficiency with event registration software, website builders, and Microsoft Office/Google Workspace. Experience managing mobile event apps is highly desired. The organization uses: Sched (for the conference program), Your Membership (for registration/database), Trello (for committee tracking), and SurveyMonkey.
- Communication: Exceptional written and verbal communication skills, with a focus on providing excellent customer service to high-level stakeholders, sponsors, and attendees.
- Problem-Solving: Ability to thrive in a fast-paced environment, think on your feet, and maintain a calm, positive demeanor when handling unexpected challenges.
- Physical Requirements: Ability to be on your feet for long hours during the conference and lift/move boxes of event materials (up to 20 lbs).
