Job Description:

We are seeking a highly organized Junior Paralegal to join a corporate legal team in a newly created position. This role will focus heavily on corporate compliance, annual report filings, entity maintenance, and deadline management for a large portfolio of business entities.

The ideal candidate thrives on organization, checklists, deadlines, and maintaining accurate records while managing a high volume of recurring filings.

Key Responsibilities:

  • Manage compliance and annual filing requirements for a portfolio of approximately 1,500 business entities.
  • Prepare and submit roughly 100 annual reports each month across multiple states and jurisdictions.
  • Maintain calendars and tracking systems for filing deadlines, renewals, fees, and other compliance obligations.
  • Update corporate databases and ensure entity information remains complete and current.
  • Research filing procedures and requirements across different Secretary of State offices and jurisdictions.
  • Review corporate documents carefully for completeness and accuracy before submission.
  • Monitor pending filings and proactively follow up on outstanding documentation or information.
  • Communicate with attorneys, internal legal teams, registered agents, and government offices regarding entity matters.
  • Assist with business formations, amendments, dissolutions, and other corporate maintenance activities.
  • Organize and maintain electronic corporate records and supporting documentation.
  • Identify inconsistencies or missing information and coordinate with the appropriate parties to resolve them.
  • Provide support on additional corporate legal projects and administrative needs as assigned.

Qualifications:

  • At least 1 year of professional legal experience required.
  • Experience handling annual reports or other high-volume legal filings
  • Exceptional attention to detail and commitment to producing accurate work.
  • Strong organizational and deadline-management skills.
  • Comfortable managing repetitive, process-driven responsibilities at a high volume.
  • Ability to prioritize multiple filings and deadlines simultaneously.
  • Experience with corporate entities, Secretary of State filings, registered agents, or entity management is a plus.
  • Strong written and verbal communication skills.
  • Ability to work effectively with attorneys and other legal professionals.
  • Comfortable working independently while also contributing within a collaborative team environment.
  • Strong computer skills and ability to learn legal databases and entity management systems.
