Our Windsor, CT location supports customers throughout North America by providing installation, calibration, preventive maintenance, repair services, and technical support for precision measurement instruments.


We are seeking an organized and detail-oriented Service Administrator to support our Service Department and Field Service Engineers. This position serves as a key point of contact between customers, technicians, and internal departments by coordinating service requests, scheduling activities, processing documentation, and maintaining accurate service records.

The ideal candidate has experience supporting a technical service organization within a manufacturing, industrial equipment, engineering, or similar environment and is comfortable managing multiple priorities in a fast-paced, customer-focused workplace.


Key Responsibilities

  • Coordinate and schedule Field Service Engineer appointments, work orders, and technician assignments.
  • Communicate with customers regarding service requests, equipment status, updates, and completion timelines.
  • Prepare and process service-related documentation, invoices, service reports, and records.
  • Maintain accurate customer, equipment, and service history records in company systems.
  • Monitor open service tickets and work orders to ensure timely follow-up and resolution.
  • Support Field Service Engineers by coordinating schedules, parts availability, and required paperwork.
  • Assist with warranty claims, purchase orders, and billing inquiries as needed.
  • Collaborate with service, sales, operations, and other internal departments to ensure customer satisfaction.
  • Maintain inventory records and assist with ordering service parts and supplies.
Requirements:
  • High school diploma or equivalent required; associate degree preferred.
  • Minimum of 3 years of administrative, service coordination, or customer support experience within a manufacturing, industrial equipment, engineering, or technical environment.
  • Experience supporting field service technicians, engineers, or a technical service department preferred.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office and experience with ERP systems (SAP preferred) and/or service management software.
  • Ability to work independently and collaboratively within a team environment.
  • Strong attention to detail and problem-solving skills.

Preferred Skills

  • Experience with service administration, dispatching, scheduling, or work order management.
  • Knowledge of invoicing, warranty processing, and purchase order procedures.
  • Experience working with technical products, equipment, or instrumentation.
  • Professional customer service and conflict-resolution skills.
