Working Conditions
Full time
Monday-Friday
8 hours a day- 40 hours a week + more as needed
Little travel required
Ability to work in an assisted living environment
Manager on Duty Rotation (weekends)
Purpose
Very organized individual and able to keep accurate records for staff, residents and family members. Maintain a positive and caring attitude and present a professional image at all times. To assist the Managing Partner in the daily operations of the facility.
Essential duties and responsibilities
- Answer all incoming phone calls by the third ring
- Give tours of the facility
- Track census daily
- Daily bank deposits
- Maintain office budget
- Send out invoices/statements each month
- Resident billing records
- Payroll
- Handling daily in-coming/out-going mail
- Assist with scheduling and staffing.
- Order office supplies, gifts & upkeep of office equipment.
- Coordinate new hire implementation and orientation process.
- Coordinate all new resident admissions.
- Maintain staff and resident files
- Greet people as they enter into the building
- Assistant to the Managing Partner
- Accounts payable and receivable
- MOD Rotation
Non-Essential duties and responsibilities
- Kitchen helper
- Resident care giver
- Occasional errands
- Assist residents when needed
- Ability to supervise in an emergency situation
Educational requirements
Associates degree (A.A.) or equivalent from two year college or technical school; three year related experience and/or training; or equivalent combination of education and experience.
Work Experience
Five years of office manager experience preferred. Two years’ experience needed with MS office, Excel, Outlook, and Internet.
Language Skills
Ability to read and comprehend instructions, correspondence and memos. Ability to write correspondence. Ability to effectively present information in one-on-one and small group situations to customer, staff, residents and their families. Must be able to speak, read and write Basic English skills.
Physical Demands
Lift up to 25 lbs. required to assist with occasional resident care needs
Additional Information
Must be able to work in a team player environment, multi-task, detail oriented person, organized and follow through skills.
