Full-Time | Monday-Thursday | Fridays Until 2 PM | No Weekends

Dr. Maggie Davis & Associates is a well-established, privately owned pediatric dental practice dedicated to providing exceptional care and creating an outstanding experience for every patient and family we serve.

We are seeking an experienced Business Assistant who is friendly, organized, dependable, and enjoys working in a fast-paced, team-oriented environment. This position will have a primary focus on patient check-in and front office operations, serving as one of the first points of contact for our patients and families.

The ideal candidate understands that an exceptional patient experience begins before a patient ever reaches the treatment room. We are looking for someone who communicates well, pays attention to the details, can manage multiple priorities, and takes pride in making patients and families feel welcomed and cared for.

ResponsibilitiesPatient Check-In & Front Office
  • Warmly greet and welcome patients and families upon arrival
  • Check patients in accurately and efficiently
  • Verify and update patient demographics, contact information, and required documentation
  • Ensure necessary forms and consents are completed
  • Monitor the daily schedule and communicate patient arrivals to the clinical team
  • Help maintain efficient patient flow throughout the day
  • Maintain a welcoming, organized, and professional front office environment
  • Provide exceptional customer service to patients and families
Phones & Scheduling
  • Answer incoming phone calls professionally and courteously
  • Assist patients and families with questions and scheduling needs
  • Schedule and confirm appointments
  • Assist with new patient intake and registration
  • Communicate appointment policies and necessary pre-appointment information
  • Assist with recall and patient communication as needed
  • Accurately document patient communications and update patient records
Business Office Support
  • Assist with patient check-out when needed
  • Collect payments and assist with account balances as appropriate
  • Maintain accurate patient information and documentation
  • Assist with insurance information and verification as needed
  • Support scheduling and other business office responsibilities
  • Help identify and communicate scheduling or patient-flow concerns to the appropriate team members
Team Support
  • Work collaboratively with fellow Business Assistants, doctors, and clinical team members
  • Step in to assist teammates when needed to keep the office running smoothly
  • Support the clinical team and overall patient flow throughout the day
  • Participate in morning huddles and team meetings
  • Communicate effectively between the front and back office
  • Maintain a positive, professional, and solutions-focused attitude
QualificationsPreferred Experience
  • Minimum of 2 years of dental front office experience preferred
  • Pediatric dental and/or general dental experience preferred
  • Experience with patient check-in, scheduling, phones, and customer service
  • Familiarity with dental insurance and patient accounts is a plus
  • Experience with dental practice management software preferred

Schedule

Monday-Thursday: 7:00 AM – 5:00 PM

Friday: 7:00 AM – 2:00 PM

Full-time position averaging approximately 36-40 hours per week. Team members are not expected to work the entire hours of operation.
