Account Coordinator
Job Description
This role supports the day-to-day coordination of local marketing programs by tracking timelines, monitoring deliverables, and helping ensure projects move forward on schedule across internal teams, clients, franchisees, and vendors. The position prepares clear, client-ready status updates, meeting materials, and action-item documentation that keep stakeholders aligned on priorities, responsibilities, and deadlines. It also reviews marketing and production materials for accuracy, brand compliance, and completeness while maintaining organized account records, approvals, and supporting documentation for easy access and smooth execution. In addition, the job facilitates the handoff of assets and information across partners, assists with billing and invoice support processes, manages recurring communication calendars, and identifies practical ways to improve coordination, accuracy, and workflow efficiency.
Track project timelines and deliverables Monitor assigned jobs, milestones, and due dates across local marketing programs; follow up with internal teams, clients, franchisees, and vendors to keep work moving and escalate risks or delays early to help ensure on-time delivery.
Prepare client-ready status updates Compile accurate, timely status reports, meeting agendas, recaps, and action-item lists that clearly document next steps, ownership, and deadlines for assigned accounts and markets.
Review materials for accuracy and brand compliance Proofread marketing materials, trafficking details, print specifications, and communication drafts to catch errors, confirm required changes, and help ensure work aligns with client direction, brand standards, and market requirements.
Organize account documentation and files Maintain orderly, up-to-date digital and shared records for estimates, approvals, production details, media documents, billing support, contact lists, and market history so the account team can quickly access accurate information.
Facilitate asset and information handoffs Coordinate the collection, routing, and delivery of creative assets, copy, approvals, insertion details, and production information between internal departments and external partners to support smooth execution.
Support invoice and purchase documentation processes Gather backup documentation, verify billing details against approved scopes or orders, prepare materials needed for invoice submission, and help resolve routine discrepancies in partnership with the account team and finance contacts.
Monitor recurring communications and program calendars Maintain distribution schedules for monthly alerts, print drops, media deadlines, and other recurring account communications to ensure stakeholders receive the right information at the right time.
Identify process gaps and suggest coordination improvements Recognize recurring administrative issues, communication breakdowns, or workflow inefficiencies on assigned accounts and recommend practical improvements that increase accuracy, responsiveness, and execution quality.
Support Account Leadership Provides day-to-day support to Account Directors and Account Executives by coordinating account activities, maintaining organized records, tracking deliverables, and assisting in the execution of local marketing programs and client initiatives. Ensures work progresses smoothly while helping the account team meet client expectations and project deadlines.
Build Client and Vendor Relationships Develops and maintains effective working relationships with clients, franchisees, vendors, and internal teams through responsive communication, follow-through, and reliable support. Builds trust by providing accurate information, addressing requests promptly, and helping facilitate timely decision-making.
Demonstrate Curiosity and Continuous Improvement Actively seeks opportunities to learn, develop new skills, and improve processes. Investigates solutions independently, embraces feedback, and identifies ways to increase efficiency, accuracy, and effectiveness across account operations and marketing program execution.
