Northern Manhattan Rehab and Nursing Center is seeking an experienced and highly organized Secretary to support our Nursing Department. This position plays a vital role in ensuring smooth daily operations in a fast-paced, dynamic healthcare environment. The ideal candidate is professional, punctual, detail-oriented, and able to multitask effectively.
Responsibilities of Medical Records/Unit Secretary:Organize and maintain complete, accurate, and up to date resident medical records in accordance with federal, state, and facility regulations
Oversee the release, storage, archiving, and transcription of medical records in compliance with HIPAA standards
Collaborate with nursing, clinical, and administrative staff to ensure timely documentation
Promote cooperative and professional relationships with residents, families, staff, vendors, and healthcare partners
Prepare, duplicate, distribute, and mail reports, letters, and documents as directed
Answer telephones professionally and provide information in accordance with nursing home regulations, referring complex inquiries to appropriate personnel
Manage electronic and paper medical records systems.
Process admissions, discharges, and transfers
Abstract, analyze, audit, and code medical records promptly
Assist with chart audits and regulatory surveys

Additional duties as assigned
High School Diploma or equivalent
Proficiency in Microsoft Office
Minimum of two (2) years of clerical experience, preferably in a healthcare or nursing home setting
Experience with proofreading, cross-indexing, and filing
Excellent oral and written communication skills
Strong attendance and punctuality are required
CNA certificate preferred but not required
