SUMMARY: As a Sales Administrator, you will be responsible for managing various administrative tasks to support our sales team and ensure the smooth operation of our sales processes.
About the Role
Pinx Catering is seeking a highly organized, personable, and detail-oriented Sales Administrator to support our catering sales team and help deliver an exceptional client experience from initial inquiry through event completion.
This role is ideal for someone who thrives in a fast-paced environment, enjoys working with people, and can confidently balance multiple priorities while maintaining accuracy and professionalism.
Key Responsibilities
Support the sales team with day-to-day administrative and organizational needs.
Respond to incoming catering inquiries by phone, email, and other communication channels.
Enter, maintain, and update client and event information in company systems.
Prepare proposals, estimates, contracts, invoices, and other client-facing documents.
Coordinate with clients, sales managers, event staff, and operations to ensure accurate event details.
Track leads, follow-ups, proposals, bookings, and sales activity.
Schedule tastings, meetings, site visits, and other client appointments.
Assist with menu selections, event details, guest counts, timelines, and special requests.
Follow up with prospective clients and help move qualified leads through the sales process.
Maintain organized digital files and accurate records.
Assist with event calendars, sales reports, and other administrative projects.
Provide excellent customer service and represent Pinx Catering with a warm, professional attitude.
Support the team during busy periods, including evenings or weekends when needed.
Qualifications
1–3 years of administrative, sales support, hospitality, catering, or customer service experience preferred.
Excellent organizational and time-management skills.
Strong written and verbal communication skills.
Exceptional attention to detail and accuracy.
Comfortable managing multiple projects and deadlines simultaneously.
Proficient with email, Microsoft Office/Google Workspace, and basic computer systems.
Experience with CRM, catering, event-management, or scheduling software is a plus.
Professional, positive, and solutions-oriented approach.
Ability to work independently while collaborating effectively with a team.
Hospitality or catering experience is highly desirable.
