About Our Client:

Addison Group is partnering with our client to hire a Client Services Associate. This is an excellent opportunity for someone with strong customer service and administrative skills who enjoys working with people while managing detailed processes and documentation. The ideal candidate will be organized, detail-oriented, comfortable handling paperwork, and able to learn new systems and processes quickly. This is an in-office position offering the opportunity to work alongside a collaborative team while supporting clients throughout the insurance application process.

Job Description:

The Client Services Associate will provide exceptional customer service and administrative support to both internal and external clients. This role is responsible for assisting with insurance applications, processing documentation, communicating with clients, coordinating with insurance carriers, and maintaining accurate customer records. The ideal candidate is someone who enjoys a fast-paced environment, can manage a high volume of communication, and takes pride in accuracy, organization, and timely follow-up. This position requires someone who can work independently while also collaborating effectively with a team.

Key Responsibilities:

  • Maintain accurate customer databases using internal systems and Microsoft Excel.
  • Assist clients with completing insurance applications and related documentation.
  • Submit and process insurance applications accurately and efficiently.
  • Prepare and send rate quotes for both under -65 and over -65 clients.
  • Respond to a high volume of client communications, including 60+ emails per day.
  • Provide professional and timely responses to client questions and requests.
  • Follow up with insurance carriers regarding application status and outstanding items.
  • Communicate application updates to clients and ensure they remain informed throughout the process.
  • Complete Medicare Part D and Medicare Advantage prescription drug plan reviews.
  • Maintain accurate client records, application documentation, and tracking information.
  • Monitor application progress and follow up on outstanding requirements.
  • Send timely thank-you correspondence within 10 days of application approval.
  • Maintain professional and technical knowledge through ongoing review of industry information and publications.
  • Manage multiple processes and priorities while maintaining accuracy and meeting deadlines.
  • Perform additional administrative and client service duties as needed.

  • Ability to handle a high volume of emails and client requests.
  • Strong Microsoft Office skills, including Microsoft Word, Excel, PowerPoint, Outlook, and Publisher.

  • Ability to retain detailed process information and learn new systems quickly.
  • Strong analytical, critical-thinking, and problem-solving abilities.
  • Professionalism and strong interpersonal skills.
  • Good mathematical skills and ability to work accurately with numbers.
  • Excellent verbal and written communication skills.
  • Ability to work independently and collaboratively as part of a team.
  • Strong follow-up skills and ability to manage tasks through completion.
  • Comfortable working with confidential client information.

Additional Details:

  • Schedule: Monday-Friday, 40 hours per week.
  • Work Arrangement: Fully in-office.
  • Employment Type: Full-time contract.
