Legal & Compliance Coordinator

Yingst Building Group is looking for a highly organized, detail-oriented Legal & Compliance Coordinator to join our team. This position supports a wide variety of legal and compliance activities across our homebuilding, remodeling, real estate, and corporate operations.
This is a great opportunity for someone with legal assistant, paralegal, real estate, compliance, insurance, or administrative experience who enjoys managing details, keeping projects on track, and working across different areas of a business.
The Legal & Compliance Coordinator reports to the Compliance Manager and will assist with real estate transactions, corporate records, legal documents, insurance and vendor compliance, HOA administration, and other compliance-related responsibilities.
What You'll Do
Real Estate & Transaction Support
- Assist with lot purchases, real estate acquisitions, and closings
- Prepare, organize, and track real estate documents
- Coordinate signatures and document delivery
- Track deadlines, contingencies, approvals, and closing requirements
- Maintain Agreements of Sale, amendments, and related transaction documents
- Summarize agreements and track important contractual dates and obligations
Corporate & Legal Administration
- Maintain records for Yingst Building Group and affiliated entities
- Prepare and file annual reports and other required state filings
- Assist with the formation and ongoing maintenance of corporate entities
- Maintain corporate consents, resolutions, operating agreements, and related records
- Obtain and track signatures and fully executed documents
- Maintain organized electronic legal and compliance files
- Track contract deadlines, renewals, notices, and other obligations
- Assist with legal and compliance research as needed
Insurance & Vendor Compliance
- Communicate with insurance brokers regarding coverage and policy updates
- Maintain insurance policies, certificates, and related documentation
- Review vendor and subcontractor Certificates of Insurance (COIs) and other required compliance documents
- Identify missing, expired, or non-compliant documentation
- Follow up with vendors and subcontractors to resolve outstanding compliance items
- Maintain accurate records and monitor expiration dates
- Upload and maintain required compliance documentation within Company systems
HOA Administration
- Maintain HOA records, packets, meeting materials, and turnover documents
- Track HOA meetings, notices, deadlines, and turnover activities
- Assist with HOA communications and documentation
- Follow up on outstanding HOA matters
Compliance Support
- Help monitor legal, regulatory, insurance, licensing, and contractual requirements
- Maintain calendars and reminders for important deadlines
- Identify and escalate potential compliance issues
- Support special projects involving legal, real estate, construction, insurance, and corporate matters
- Handle confidential and sensitive information with professionalism and discretion

Experience That Would Be a Plus
We don't expect every candidate to check every box. Experience in one or more of the following areas would be beneficial:
- Legal assistant or paralegal work
- Legal, compliance, real estate, construction, insurance, or corporate administration
- Paralegal studies or completion of a paralegal certificate program
- Real estate transactions and closing documents
- Corporate filings and annual reports
- Certificates of Insurance and insurance documentation
- Vendor or subcontractor compliance
- HOA administration
- Pennsylvania real estate or construction practices
