Salary: $65,000–$75,000

A prestigious, prominent organization seeks a bilingual Administrative Assistant to support English-speaking U.S. executives in a fast-paced, international business environment.

Approximately 90–95% of day-to-day communication is conducted in English. Japanese is used approximately 5–10% of the time, primarily for communication with Japan and Japanese-speaking stakeholders.

The ideal candidate is a strong coordinator and organizer who is comfortable working with multiple people, schedules, deadlines, and changing priorities. Experience in administrative support, event planning, project coordination, media/production, conference coordination, travel coordination, or other detail-intensive environments is welcome.

Responsibilities

* Manage calendars and coordinate meetings involving multiple participants.
* Schedule meetings across departments, external organizations, and multiple time zones.
* Communicate with multiple parties to confirm timing, logistics, and meeting details.
* Coordinate domestic and international business travel.
* Prepare expense reports, correspondence, and business documents.
* Support meetings, events, conferences, and day-to-day office activities.
* Follow up with internal and external stakeholders to keep schedules and arrangements on track.
* Respond effectively to schedule changes and other time-sensitive requests.


Requirements
* 2+ years of administrative, executive support, coordination, event planning, project support, production, or similar experience.
* Excellent professional English communication skills and business-level Japanese.
* Strong organizational and multitasking skills with close attention to detail.
* Ability to coordinate schedules and details involving multiple people and competing priorities.
* Comfortable communicating proactively with U.S. executives and other English-speaking stakeholders.
* Ability to work in a fast-paced, deadline-driven environment and remain organized when priorities change.
* Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
