America's Largest Exterior Home Remodeling Company is growing! Window World of Long Island of Long Island are currently seeking a detail-oriented and organized Scheduling Coordinator to join our family.

Window World of Long Island provides premium products, professional installations, and honest pricing. Our Scheduling Coordinators play an important role in keeping our operations running smoothly by coordinating customer appointments, installation schedules, and communication between homeowners, installers, project managers, and our internal teams.

The ideal candidate is highly organized, comfortable managing multiple priorities, and enjoys working in a fast-paced environment where communication and attention to detail are key. Responsibilities:

• Coordinate and maintain installation schedules for residential home improvement projects.
• Schedule customer installations, inspections, and follow-up visits.
• Communicate directly with homeowners to confirm appointments and provide scheduling updates.
• Coordinate daily schedules with installers and project managers.
• Monitor schedules and proactively identify potential scheduling conflicts or delays.
• Reschedule appointments when necessary while maintaining a high level of customer service.
• Confirm that projects are ready for installation before scheduling crews.
• Coordinate materials, products, and other requirements needed for scheduled installations.
• Maintain accurate customer and project information in company systems.
• Communicate project updates and schedule changes to the appropriate departments.
• Follow up with customers regarding upcoming appointments and installation timelines.
• Assist with resolving scheduling issues and finding solutions when unexpected challenges arise.
• Keep calendars and scheduling systems accurate and up to date.
• Work closely with the Project Management and Production teams to keep projects moving efficiently.
• Provide exceptional customer service and maintain positive relationships with homeowners.
• Assist with general administrative and operational duties as needed.
• Maintain a professional, positive, and helpful attitude with customers and team members.

Qualifications:

• Previous scheduling, dispatching, customer service, administrative, or office experience preferred.
• Home improvement, construction, or remodeling experience is a plus.
• Excellent organizational and time-management skills.
• Strong attention to detail and accuracy.
• Excellent verbal and written communication skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Strong problem-solving and decision-making skills.
• Comfortable communicating with customers by phone, email, and text.
• Proficient with computers, email, calendars, and teams.
• Ability to learn and navigate scheduling and customer management software.
• Self-motivated, dependable, and able to work independently.
• Team player with a positive attitude and strong work ethic.
• Ability to remain calm and professional when handling scheduling changes or customer concerns.
• Willingness to learn about our products, installation process, and company procedures.
