Duties and Responsibilities- Greet patients and visitors in a courteous and friendly manner upon entrance.
- Manage patient check-ins and check-outs, ensuring all necessary paperwork is filled out and processed accurately.
- Schedule appointments and maintain an organized appointment calendar.
- Answer phone calls, respond to inquiries, and route calls to the appropriate party.
- Collect and process payments from patients for services rendered.
- Verify patient insurance eligibility and process insurance claims promptly.
- Maintain a clean and organized front desk and waiting area.
- Handle sensitive information confidentially in compliance with healthcare regulations.
- Update patient records in the clinic’s database with accuracy.
- Coordinate with medical staff to manage the daily patient flow.
- Provide administrative support to the medical staff as needed.
- Manage supply inventory and order office supplies when necessary.
- Communicate effectively with patients, providing them with necessary appointment details and instructions for preparation.
- Participate in training and education to improve knowledge and performance level.
- Handle emergency situations calmly and efficiently with proper escalation to medical personnel.
- High school diploma or equivalent; further education in medical administration or related field preferred.
- Proven experience in a front desk role, preferably in a medical or healthcare setting.
- Strong communication and organizational skills.
- Proficiency in computer applications including MS Office and patient management software.
- Ability to handle multiple tasks simultaneously and prioritize appropriately.
- Strong interpersonal skills, able to interact effectively with patients, families, and colleagues.
- Knowledge of medical terminology and healthcare procedures.
- Experience with electronic health record (EHR) systems is advantageous.
- Detail-oriented with a focus on accuracy and efficiency.
- Experience in handling patient confidentiality issues according to HIPAA regulations.
- Medical field experience is a bonus but not strictly necessary.
