POSITION SUMMARY

Full Circle Youth Empowerment Inc. is seeking a highly organized, professional, and tech-savvy Administrative Assistant to support day-to-day administrative operations and help ensure the organization runs efficiently. The ideal candidate is dependable, organized, proactive, detail-oriented, and an excellent communicator. This position is well suited for someone who enjoys working in a collaborative, fast-paced environment and is passionate about supporting an organization dedicated to empowering youth and strengthening communities.

RESPONSIBILITES AND SKILLS

Manage scheduling, appointments, meetings, and calendars. Answer and manage phone calls, emails, and general correspondence. Prepare documents, reports, presentations, and meeting materials. Maintain organized electronic and paper files. Assist with data entry, recordkeeping, and administrative tracking. Support day-to-day office operations and administrative needs. Communicate professionally with staff, community partners, program participants, and other stakeholders. Assist with scheduling and coordinating meetings, events, and organizational activities. Draft routine correspondence, emails, and other communications. Help ensure information is shared accurately and in a timely manner. Enter, organize, and maintain organizational and program data. Assist with preparing reports, spreadsheets, and summaries. Use Microsoft Office, Google Workspace, AI and other administrative software. Assist with maintaining databases, tracking systems, and electronic records. Help identify opportunities to improve administrative processes and workflows

REQUIRED QUALIFICATIONS

  • 5-7 years of administrative, office, or related professional experience preferred
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Proficiency with Microsoft Office and Google Workspace & AI
  • Strong attention to detail and accuracy
  • Ability to manage multiple tasks and meet deadlines
  • Professional, dependable, and positive attitude
  • Ability to handle confidential information appropriately
  • Ability to work independently while also functioning effectively as part of a team
  • Calendar and meeting management
  • Professional correspondence and communication
  • Creating letters, reports, presentations, and documents
  • Organizing files, records, and confidential information
  • Following up with staff, vendors, partners, and other stakeholders
  • Managing multiple priorities independently
  • Basic bookkeeping, invoices, purchase orders, or administrative financial support
  • Event and meeting coordination
  • Data entry and tracking
  • Microsoft Office and Google Workspace
  • Canva and basic graphic design
  • Basic social media posting and content support
  • Website or newsletter updates, if needed
  • Strong customer service and communication skills

PREFERRED QUALIFICATIONS

  • Experience working in a nonprofit, community-based, or youth-serving organization
  • Experience with spreadsheets, databases, reporting, or data entry
  • Experience coordinating meetings, events, or programs
  • Familiarity with administrative and project-management tools
  • Bilingual (English/Spanish)
  • Experience with program databases (e.g., ProCare or similar systems)

COMPENSATION/ JOB INFORMATION

Salary Information: $51,250.00 per annum plus benefits

This is a Full-time, on-site (Monday–Friday, 9:00 AM – 5:00 PM). Flexibility required for evenings, weekends, and organizational events. Travel to program sites, community events, training, and partner organizations is expected
