Position Summary

The Executive Assistant provides executive, administrative, and project-management support to help advance departmental priorities and company initiatives.

This role manages scheduling, communications, meetings, reporting, and follow-up activities while also coordinating projects related to the development and implementation of the Company’s new platform tools. The Executive Assistant serves as a central point of coordination between the Head of Business Analytics, internal departments, leadership, vendors, and other stakeholders.

Key Responsibilities

  • Manage the President of Business Analytics’ calendar, meetings, priorities, travel, and daily administrative needs.

  • Prepare agendas, presentations, reports, meeting materials, and executive correspondence.

  • Document meeting notes, decisions, action items, responsibilities, and deadlines.

  • Coordinate communication and follow-up between Business Analytics, leadership, internal departments, vendors, and external partners.

  • Provide project-management support for the development and implementation of new platform tools.

  • Maintain project plans, timelines, task lists, testing schedules, and status reports.

  • Coordinate meetings and deliverables between business users, developers, vendors, and leadership.

  • Track project risks, open items, dependencies, and decisions requiring leadership attention.

  • Assist with user testing, feedback collection, training materials, process documentation, and platform implementation.

  • Organize departmental files, reports, project documentation, and confidential information.

  • Perform additional duties that support Business Analytics and Company initiatives.

  • Perform other duties, special projects, and non-routine assignments as requested by the hiring manager as business needs arise and when reasonably aligned with the employee’s skills and capabilities.

  • Anticipate needs, identify potential issues, and recommend practical solutions.

  • Communicate clearly and maintain accountability across projects and departments.

  • Handle confidential business, financial, employee, and transaction-related information appropriately.

Preferred Qualifications

  • Experience supporting a senior executive or department leader.

  • Experience in executive administration, project coordination, business operations, analytics, technology, or a related field.

  • Familiarity with project-management tools, CRM systems, reporting platforms, or software-development processes.

  • Strong organizational, written communication, and problem-solving skills.

  • Ability to manage multiple priorities, deadlines, and stakeholders in a fast-paced environment.

  • Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and related business tools.

Measures of Success

Success in this position will be measured by:

  • Effectiveness of executive and administrative support.

  • Accuracy and timeliness of meetings, communications, reports, and follow-up activities.

  • Successful coordination of platform-development projects and deliverables.

  • Visibility and accountability across project timelines, responsibilities, and outstanding items.

  • Quality of project documentation, testing coordination, and implementation support.

  • Positive feedback from the Head of Business Analytics, leadership, and internal stakeholders.
