Account Coordinator

“Account coordinator” can be an overlooked role elsewhere. Not here.

This job comes down to one thing: making sure every job runs smoothly, from the moment it’s ordered to the moment it’s closed out from an administrative perspective. You’ll be a steady point of contact for our customers, chasing down paperwork and details so nothing slips through the cracks — while our Branch Manager owns the bigger operational picture for Jacksonville.

This isn’t a slow-paced role. We need someone who thrives on juggling multiple orders and customers at once, and who’s the natural go-to when a job needs tracking down or a customer needs an answer. We need someone who is curious, resourceful, and loves organizing in a fast-paced company.

What You’ll Handle

• Manage orders from intake through completion — scheduling, status updates, and any changes along the way.
• Be the go-to point of contact for customers — answering calls and emails, anticipating their needs, and proactively providing updates so every job feels seamless from start to finish.
• Track job details end to end — creating and updating work orders, verifying hours, collecting signoffs, and organizing job information to provide clear, concise information for team members completing the work.
• Track and follow up on open items — receiving requests, RFIs, missing paperwork — until they’re resolved.
• Keep job paperwork organized and moving: change orders, expense documents, and sign-off photos.
• Juggle several jobs at once and be comfortable with switching gears frequently.

What You Bring

• 3–5 years in a customer-facing or administrative support role.
• Comfort with CRM/ERP systems and Microsoft 365 suite.
• Sharp organization, attention to detail, and adaptability to evolving business needs.
• Excellent communication skills with a strong desire to provide customers with an exceptional experience.
