New Hire Starting Salary Range: $19.39 – $24.50 per hour base wage (After hire, pay increases can be earned, see below).

About the Opportunity

Purpose
The Senior Administrative Assistant functions as the central operational anchor for department leadership, professional staff, and multi-service community health teams. This critical position manages the daily administrative infrastructure supporting diverse behavioral health programs—including outpatient mental health, substance use recovery, service coordination, housing support, and developmental disabilities. Balancing executive calendar management with advanced data tracking and process improvement, this role ensures absolute operational efficiency, meticulous document compliance, and smooth inter-departmental communication.

Responsibilities
  • Executive & Operational Support: Provide advanced administrative assistance to division directors and professional staff, acting as a key point of contact and managing complex workflows with strict confidentiality.
  • Calendar & Meeting Governance: Manage complex, competing executive calendars, proactively scheduling high-level meetings, organizing multi-leader conferences, booking venues, and coordinating catering logistics.
  • Data Analysis & Reporting: Analyze complex information requests, track program metrics, and leverage advanced software to develop actionable reports, trend graphs, and executive presentations for leadership decision-making.
  • Financial & Expense Tracking: Maintain detailed department budget records, process expense reports, and apply basic accounting principles to track corporate administrative expenditures.
  • Communications Lifecycle: Draft, proofread, and distribute professional corporate correspondence, detailed meeting minutes, and broad internal departmental communications.
  • Process Improvement: Continuously evaluate current administrative procedures and office workflows, recommending and implementing modern, standardized systems to maximize operational efficiency.
  • Contract & Document Organization: Maintain, audit, and organize essential vendor contracts, program documentation, and regulatory records in full compliance with corporate policies.
  • Emergency & Engagement Planning: Actively participate in site-specific emergency management planning and take a lead role in organizing internal employee engagement and team-building activities.
Minimum Essential Requirements
  • Education: High School Diploma or GED equivalent.
  • Professional Experience: Minimum of five (5) years of dedicated experience in an increasingly responsible administrative support, office management, or executive assistant role.
  • Advanced MS Suite Proficiency: Elite command of Microsoft Office tools, with advanced Excel skills specifically required to build pivot tables, structure datasets, and generate graphical reports.
  • Business & Analytical Acumen: Deep working knowledge of traditional business processes, professional formatting, data analysis, and basic financial or accounting principles.
  • Independent Judgment: Demonstrated ability to multi-task under tight deadlines, prioritize competing requests, and utilize high discretion and independent problem-solving skills daily.
