The American Society of Transplantation (AST) is a non-profit medical association dedicated to advancing the field of organ transplantation and improving patient outcomes. With over 5,000 professional members, we are a small but mighty team where every individual plays an essential role in advancing transplantation.
We are seeking a Communities of Practice Manager to support and strengthen AST’s Communities of Practice (COPs). AST's Communities of Practice (COPs) are specialty focused groups within AST that bring together members with shared interests and expertise in transplantation. Each COP is led by volunteer members and provides opportunities for collaboration, education, professional engagement, and advancement of the field.
This position requires a collaborative and highly organized professional who enjoys working with volunteer leaders, managing projects and initiatives, facilitating effective communication, and creating meaningful opportunities for member engagement. The Communities of Practice Manager will report to the Director of Membership and work closely with COP leadership, senior staff, and association leadership to ensure COP activities align with AST’s mission and strategic direction.

POSITION SUMMARY
The Communities of Practice Manager plays a key role in supporting and advancing AST’s Communities of Practice (COPs). Reporting to the Director of Membership, this position is responsible for partnering with COP leaders and volunteers, coordinating initiatives and meetings, supporting member engagement, and ensuring COP activities align with AST’s strategic direction. The ideal candidate is highly organized, collaborative, and skilled at building relationships, managing multiple priorities, and helping volunteer-led communities thrive.
CORE DUTIES AND RESPONSIBILITIES
- Serve as the primary staff liaison to the Communities of Practice (COPs)
- Guide and support volunteer leaders in advancing COP initiatives and navigating AST processes and procedures
- Support strategic planning process for assigned projects, including creating timelines, managing budget, deliverables, and reporting
- Facilitate timely communication between COP leadership, senior staff, and the Board of Directors, including coordinating and supporting period reports and recommendations
- Manage COP governance and administrative processes, including membership records and the annual COP election process.
- Monitor and present relevant membership, demographic, financial, and engagement data to COP leaders, senior staff, and the Board to support planning and informed decision-making.
- Coordinate and oversee COP activities at AST’s annual meeting, including COP meetings and networking events, volunteer leadership activities, and other onsite functions as needed.
- Support the online community platform for COPs, providing platform management, technical support, training, and guidance to promote effective use and member engagement.
- Manage communications to COP members across email, newsletters, the AST website, the Hub, and other communication channels in coordination with appropriate AST staff.
- Manage COP Executive Committee meetings, including scheduling, agenda development, meeting materials, minutes, action items, and follow-up to ensure initiatives and deliverables remain on track.
- Calls may be outside traditional working hours
MEASUREMENT OF SUCCESS
- Budgets and timelines are met
- Budget exceptions are documented and approved
- Projects are completed on time and implemented successfully
- Feedback from event participants and COP leadership is positive
- Feedback from AST colleagues and membership is positive
- Proactively support AST leadership in resolving management or operational issues as they arise
EDUCATION & EXPERIENCE
- Associate’s degree or equivalent 3 years related committee management experience
SKILLS & COMPETENCIES
- Strong organizational and time-management skills
- Excellent communication and interpersonal skills
- Ability to manage multiple projects simultaneously
- Strong problem-solving skills with the ability to anticipate challenges and identify practical solutions within the scope of the role.
- Proficiency in Microsoft Office and Zoom
- Experience working with an association management system (AMS) preferred
PHYSICAL DEMANDS/ WORK ENVIRONMENT:
- Position may require occasional travel (domestic)
- Must be able to work extended hours during peak event times
- Ability to lift and transport materials (up to 25 lbs)
- Standard office environment with prolonged periods of sitting or standing
