This position is:

Part Time / 16 hrs. per week

3:00pm-7:00pm Tuesday/Wednesday/Thursday

8:30am-5:00pm every other Saturday

Will be part of the holiday rotation

SUMMARY OF JOB RESPONSIBILITIES:

The Front Desk Receptionist provides a welcoming and professional first point of contact for residents, visitors, and staff. The position operates front-desk telephone and emergency communication systems, coordinates mail, parcel, medication-delivery, and guest-suite activities, and provides approved clerical support to administrative staff and residents.

Essential Functions
  • Greet and assist residents, visitors, and staff in a pleasant, professional manner.

  • Answer incoming calls on the seven-line switchboard, direct callers to the appropriate department, deliver messages, and page staff as needed.

  • Sort and distribute mail; log parcels and place them on the appropriate shelf; notify residents; and forward resident mail when appropriate.

  • Monitor and respond to Quantum emergency call-system alerts and fire alarms in accordance with established procedures.

  • Complete clerical and typing assignments for departments and residents upon request and with prior approval from the Executive Assistant.

  • Receive daily medication deliveries, record them on the designated log, and notify the appropriate resident.

  • Troubleshoot UNICE system issues and assist residents with system use when necessary.

  • Operate postage equipment, weigh packages, and apply the correct postage.

  • Reconcile sales and charges for postage, shipping, copies, and fax services.

  • Manage guest-suite reservations and check guests in and out as needed.

POSITION REQUIREMENTS:

Educational Requirements:

High school diploma or equivalent.

Secretarial or administrative training preferred.

Excellent customer service skills.

Customer service skills and the ability to manage multiple priorities, including telephone calls, information requests, and interactions with residents, staff, and visitors.

Licensure, Certification and Registration:

None.

Work Orientation and Experience:

Previous receptionist, administrative support, or customer service experience preferred.

Knowledge, Skills and Abilities:

Proficiency with Microsoft Word, Excel, PowerPoint, Outlook email, and calendar applications.

Maintains a professional demeanor and presents an appearance appropriate to the workplace.

Excellent telephone communication skills.

Ability to communicate effectively and respectfully with older adults.

Ability to maintain confidentiality.

Ability to multitask effectively, organize work, manage competing priorities, and maintain accuracy in a busy front-desk environment.
