We are looking for an Accounting Assistant to support financial operations for a government organization in Claremont, California. This Contract position is ideal for someone who is organized and comfortable handling a broad range of accounting and administrative responsibilities. The role will contribute to daily fiscal activities, records management, and customer-facing financial support while helping maintain accuracy and compliance across department functions.

Responsibilities:
• Support day-to-day accounting activities tied to municipal finance operations, including ledger updates, payroll support, purchasing documentation, accounts payable processing, and cash handling functions.
• Enter, organize, and maintain financial information in computerized systems, ensuring records are accurate, current, and properly documented.
• Prepare correspondence, summaries, reports, and other office documents while maintaining a high standard of written communication.
• Review forms, transactions, and supporting records to confirm completeness, policy alignment, and adherence to applicable procedures and regulations.
• Assist with revenue-related activities such as billing, collections, cashiering, utility account support, business license processing, and audit-related record tracking.
• Respond to questions or concerns from the public and internal staff, using sound judgment to determine appropriate next steps or escalation.
• Compile statistical and financial information for special assignments, operational reviews, budget-related support, and other departmental projects.
• Recommend practical improvements to office workflows and provide administrative support for evaluations of existing procedures.
• Serve in an emergency support capacity as required during a locally declared disaster or emergency event.• Experience with accounting support functions such as accounts payable, accounts receivable, invoice coding, journal entry preparation, and bank reconciliations.
• Working knowledge of bookkeeping fundamentals, financial record maintenance, and basic accounting practices.
• Proficiency with business software and data entry tools, including Microsoft Excel; experience with QuickBooks or Tyler Technologies Munis is preferred.
• Ability to perform numerical calculations accurately, manage detailed information, and maintain organized files and records.
• Strong written and verbal communication skills, including the ability to prepare routine business correspondence and interact professionally with the public and staff.
• Capability to interpret policies, procedures, and financial documentation and apply them correctly in daily work.
• Ability to work independently, manage multiple deadlines, and maintain composure in a service-oriented environment.
• Physical ability to sit for extended periods, lift up to 15 pounds, and retrieve stored records using a step stool or ladder when needed.
