Job Description
The Medical Receptionist provides front desk and administrative support in a clinical setting, ensuring a smooth and welcoming experience for patients. This role manages patient check-in and scheduling, maintains accurate electronic health records, supports office supply and product tracking, and contributes to the overall organization and efficiency of the clinic.
Responsibilities- Perform opening and closing duties for the clinic, ensuring the front desk and waiting area are prepared for patient flow.
- Greet patients in a professional and friendly manner, check them in for appointments, and verify insurance information accurately.
- Scan and upload documents into the electronic health record system, maintaining complete and accurate patient files.
- Maintain tidiness and organization of the waiting area and reception counter throughout the day.
- Monitor appointment schedules during the day, including added, canceled, and no-show appointments, and adjust as needed.
- Schedule follow-up appointments as needed, ensuring patients receive appropriate continuity of care.
- Respond promptly and accurately to designated tasks and messages in the electronic health record system.
- Order and track clinic office supplies to ensure adequate inventory and smooth daily operations.
- Sell and track cosmetic products, maintaining accurate records of inventory and transactions.
- Distribute incoming mail to appropriate recipients and manage outgoing mail as needed.
- Prepare for the next day’s scheduled appointments, including reviewing schedules and organizing necessary documentation.
- High school diploma or equivalent.
- 1–2 years of recent medical office experience or experience in a similar capacity (preferred).
- Proficiency in basic computer functions.
- Ability to learn new software quickly, including electronic health record systems.
- Strong customer service skills with a focus on patient-centered care.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to operate standard office equipment.
- Ability to type a minimum of 40 words per minute (preferred).
- Ability to multi-task, prioritize appropriately, and manage a busy front desk environment.
- Ability to work well both independently and as part of a team.
- Ability to respond positively to constructive feedback and direction.
- Commitment to maintaining confidentiality of sensitive information.
- Prior medical experience and familiarity with medical office workflows.
- Experience at a front desk or in a customer-facing role.
- Demonstrated professional appearance and manner at all times.
- Friendly, cheerful, tactful, and polite demeanor when interacting with patients, visitors, and colleagues.
- Compassionate and caring approach when dealing with others.
- Knowledge of or exposure to histology is beneficial but not required.
This is a full-time position of 40 hours per week, with a schedule of Monday through Friday, 7:45 AM to 5:00 PM. The role is based in a clinical setting at the front desk and waiting area, using electronic health record software, standard office equipment, and basic computer applications throughout the day. The environment is fast-paced and patient-focused, requiring a professional appearance, courteous interactions, and a calm, organized approach to managing multiple tasks. The Medical Receptionist works closely with clinical and administrative staff to support efficient operations and a positive experience for every patient.
Job Type & LocationThis is a Contract to Hire position based out of Portsmouth, NH.
Pay and BenefitsThe pay range for this position is $18.00 - $20.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
