The Custody Operations Specialist works in a large, quiet vault environment, ensuring the accurate filing, storage, and retrieval of loan documents. This role is highly physical and detail-oriented, requiring extensive walking, frequent use of step stools, and continuous interaction with both physical files and computer systems to maintain document integrity and support production needs.

Responsibilities
  • Perform a variety of vault functions, including pulling loan files, returning files to their proper locations, and conducting quality control checks on filing accuracy.
  • Verify that loan files are stored in the correct locations according to established filing standards and organizational systems.
  • Search shelves thoroughly when files are missing, checking the entire shelf and surrounding areas to locate misplaced documents.
  • Use computer systems and search tools to research and track missing files, reviewing where files were last seen and identifying files that arrived at the same time as the missing item.
  • Conduct physical searches for files around the vault, including desks, under desks, carts, and other potential storage areas.
  • Navigate multiple computer systems, databases, and applications to locate, update, and verify file information.
  • Handle document custody tasks in a production-based environment, ensuring timely and accurate processing of files.
  • Apply strong attention to detail and analytical skills to identify filing errors, discrepancies, and potential issues in document organization.
  • Use Microsoft Office tools, especially Excel, to support tracking, reporting, and documentation related to custody operations.
  • Maintain a high level of accuracy while multitasking and managing multiple file requests and research tasks simultaneously.
  • Lift boxes or files weighing up to 30 pounds as needed to support vault operations.
  • Remain on your feet for the majority of the shift, walking extensively throughout the vault to perform daily tasks.
  • Follow established procedures and guidelines for document handling, custody, and vault security.
  • Contribute to a production-focused environment by meeting performance expectations and supporting team workflows.
Essential Skills
  • Basic proficiency in Microsoft Office, with particular emphasis on Microsoft Excel.
  • Experience in a production-based environment where accuracy and efficiency are critical.
  • Excellent verbal, written, and interpersonal communication skills.
  • Strong analytical skills with high attention to detail and accuracy in handling documents and data.
  • Ability to navigate multiple computer systems, applications, and search tools to find and verify information.
  • Ability to multitask effectively while managing multiple file requests and research activities.
  • Capability to lift up to 30 pounds to handle boxes and files in the vault.
  • Ability to remain on your feet and walk for most of the day in a physically active role.
  • Skill in navigating various computer databases to research and track file locations.
Additional Skills & Qualifications
  • Experience with document custody or vault operations.
  • Familiarity with filing systems and organizational structures for large volumes of documents.
  • Comfort working in a production environment with time-sensitive tasks.
  • Proficiency with general computer use and data entry.
  • Ability to use step stools safely to access higher shelves in the vault.

Work Environment

This role is based in a very large, quiet vault that functions as an office warehouse full of files organized by customer and loan number. You spend most of the day on your feet, walking throughout the vault and occasionally climbing step stools to access higher shelves. The dress code is business casual, and comfortable shoes, including tennis shoes, are appropriate due to the physical nature of the work. You work with computers and various databases in conjunction with physical files to support custody operations. The position follows a weekday schedule, with hours from 7:30 a.m. to 4:00 p.m., Monday through Friday.

This is a Contract to Hire position based out of Minneapolis, MN.

Pay and Benefits

The pay range for this position is $20.00 - $20.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
