Job Description
The Receptionist serves as the first point of contact for visitors, customers, and employees while supporting the daily administrative and operational needs of the office. This role maintains a secure, professional, and welcoming environment and ensures the efficient operation of front office functions in accordance with company policies and Department of Defense (DoD) security requirements.
Responsibilities- Greet and welcome visitors, customers, vendors, and employees in a professional and courteous manner.
- Serve as the primary point of contact at the front desk, answering questions and directing individuals to the appropriate person or department.
- Manage incoming telephone calls, emails, and other electronic communications, ensuring timely and accurate responses or routing.
- Maintain awareness of the reception area while remaining seated or stationed at the reception desk for extended periods.
- Monitor and support office access control procedures in alignment with Department of Defense (DoD) security requirements and company policies.
- Operate standard office equipment, including computers, printers, telephones, and related office technology, to support daily operations.
- Use Microsoft Office applications and Canva to prepare, update, and format documents, presentations, and other office materials.
- Assist with administrative tasks such as scheduling, document preparation, data entry, and record maintenance as needed.
- Move throughout the office to greet visitors, assist employees, replenish supplies, and support general office operations.
- Occasionally lift, carry, and transport office supplies and packages weighing up to 25 pounds.
- Maintain professionalism, confidentiality, and attention to detail while managing multiple priorities in a busy office environment.
- Contribute to a welcoming, organized, and efficient front office that reflects a highly reputable organization.
- Proven ability to provide professional customer service at a front desk or in a similar office environment (customer service experience preferred).
- Excellent verbal and written communication skills for in-person, telephone, and electronic interactions.
- High level of proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Teams.
- Proficiency with Canva for creating and editing visual and presentation materials.
- Strong aptitude for quickly learning and adapting to new electronic tools and software.
- Ability to remain seated or stationed at the reception desk for extended periods while maintaining situational awareness of the reception area.
- Ability to operate standard office equipment, including computers, printers, telephones, and other office technology.
- Ability to move throughout the office to greet visitors, assist employees, replenish supplies, and support office operations.
- Ability to occasionally lift, carry, and transport office supplies and packages weighing up to 25 pounds.
- High school diploma or GED.
- Customer service experience in a professional office or front desk setting is preferred.
- Demonstrated ability to maintain professionalism, confidentiality, and attention to detail in a fast-paced environment.
- Comfort working with multiple priorities while providing consistent, high-quality service to visitors and employees.
- Strong interpersonal skills and a welcoming demeanor when interacting with a diverse range of individuals.
- Reliability and punctuality in maintaining reception coverage and supporting daily office operations.
This position is based in a professional office environment with frequent interaction with employees, customers, vendors, and visitors. Job Type & LocationThis is a Contract to Hire position based out of Plano, TX.
Pay and BenefitsThe pay range for this position is $18.00 - $22.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
