Accounting Administrator
Job Description
We are seeking a detail-oriented Administrative Assistant to support our mechanical contracting operations. You will handle daily office tasks, manage documentation, and issue vendor purchase orders. A basic understanding of
construction lien notices and waivers is highly preferred.
Key Responsibilities
Issue purchase orders: Generate, track and distribute POs to suppliers and subcontractors.
Process construction documents: Prepare, track and log preliminary lien notices and lien waivers for vendors.
Subcontract Compliance: Tracking lien waivers, certified payroll, and certificates of insurance.
Manage office systems: Utilize Microsoft Word and Excel to create reports, letters, and spreadsheets.
Handle daily correspondence: Answer phone calls, route emails, and distribute incoming mail.
Support billing workflows: Assist the accounting team by verifying invoices and tracking receipts as needed.
Experience: 1-2 years of administrative experience, ideally within construction or mechanical contracting.
Lien & PO Knowledge:
Basic familiarity with issuing purchase orders and handling lien waivers.
Software Skills: Proficiency in Microsoft Office, especially editing Word templates and entering Excel data.
Organization: Strong ability to prioritize tasks, meet deadlines, and maintain strict attention to detail.
Communication: Clear verbal and written skills to interact with clients, techs, and vendors.
