The Receptionist - Level 1 provides front desk and administrative support in a professional office environment. This role focuses on greeting and assisting visitors, vendors, and employees, managing incoming calls, issuing access badges, and coordinating office-related requests to ensure a positive and efficient visitor and employee experience.

Responsibilities
  • Greet and assist visitors, vendors, and employees in a professional and friendly manner.
  • Answer, screen, and direct incoming phone calls to the appropriate contacts or departments.
  • Issue and manage access badges and visitor credentials in accordance with office procedures.
  • Set up and prepare meeting rooms, including arranging seating, equipment, and materials as needed.
  • Provide general administrative and clerical support, such as data entry, filing, copying, and handling mail.
  • Coordinate office-related requests, including facilities or service needs, to support smooth daily operations.
  • Maintain a clean, organized, and welcoming reception area.
  • Ensure all visitors follow sign-in procedures and are directed appropriately within the facility.
  • Support internal staff with basic administrative tasks and information requests.
  • Contribute to a positive visitor experience by providing clear information and responsive service.
Essential Skills
  • At least 1–2 years of experience in a receptionist, front desk, or customer service role.
  • Strong customer service skills with the ability to interact professionally with visitors, vendors, and employees.
  • Proficiency with Microsoft Outlook, Excel, and Word.
  • Accurate data entry skills and attention to detail.
  • Ability to handle multiple incoming calls and inquiries efficiently.
  • Strong verbal and written communication skills.
  • Ability to manage access badges and visitor credentials following established procedures.
  • Organizational skills to set up and prepare meeting rooms and maintain an orderly reception area.
  • High school diploma or GED.
Additional Skills & Qualifications
  • 0–2 years of overall administrative or office support experience.
  • Experience in front desk operations in a corporate or professional office setting.
  • Familiarity with general office and administrative support practices.
  • Ability to coordinate office-related requests and liaise with internal teams.
  • Demonstrated ability to ensure a positive visitor and employee experience.
Work Environment

This role is based in an in-person, professional office environment with standard business hours of 8:30 a.m. to 5:00 p.m., Monday through Friday. The position is located at an office facility in Oakland and supports an office and soft services function. You will work primarily at the reception desk and in meeting rooms, using standard office equipment and Microsoft Office applications such as Outlook, Excel, and Word. The environment is visitor-facing and fast-paced, requiring a polished, professional demeanor and attire appropriate for a corporate front desk role. The assignment is initially planned for approximately one month to provide coverage for an employee on leave, with the possibility of extension depending on business needs.

Job Type & Location

This is a Contract position based out of Oakland, CA.

Pay and Benefits

The pay range for this position is $23.00 - $23.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
