Job Description
The Administrative Assistant is an essential cross-functional operational support role. This position is responsible for managing customer communication, coordinating workflows, and supporting supply chain activities within a smaller service center environment. Given the unique size and structure of the Atlanta operation, the role offers broad exposure to both customer coordination and supply chain support activities, requiring close collaboration with technicians, logistics, leadership, and operational support teams. The ideal candidate is organized, adaptable, and collaborative, thriving in structured workflows and dynamic operational settings.
Responsibilities
- Serve as a point of contact for customer order updates and operational communication.
- Provide proactive communication regarding order status, approvals, delays, and shipment readiness.
- Maintain customer communication cadence throughout open orders.
- Coordinate customer follow-up for approvals, missing information, and operational escalations.
- Support customer issue resolution and Quality Notification (QN) coordination.
- Maintain accurate order status and visibility within internal systems.
- Support repair pricing and parts sourcing activities.
- Assist with vendor RFQ activity, lead-time validation, and material tracking.
- Coordinate with technicians, logistics, and leadership to support operational flow.
- Support prioritization of urgent customer requirements and operational escalations.
- Assist with workflow coordination from intake through shipment release.
- Support supply continuity and operational responsiveness.
- Operate within established SOPs, work instructions, and operational processes.
- Support continuous improvement of workflow visibility and communication standards.
- Maintain accurate tracking and documentation within systems such as SAP, OTRS, and Microsoft Office.
- Support process improvement initiatives and operational reporting activities.
- Work collaboratively across operations, logistics, supply chain, and leadership teams.
- Support issue resolution and operational continuity through effective communication.
- Operate effectively within an international business environment.
- Maintain professional communication across multiple organizational levels and cultures.
Essential Skills
- Experience in customer service, customer success, operations, supply chain, or service coordination environments.
- Strong organizational, communication, and follow-up skills.
- Ability to manage multiple priorities simultaneously.
- Proficiency with Microsoft Office Suite.
- Professional communication skills with internal and external stakeholders.
- Experience in aviation, aerospace, tooling, maintenance, repair, or industrial service environments.
Additional Skills & Qualifications
- Experience with SAP, ERP systems, ticketing systems, or workflow management tools.
- Experience supporting international customers or global operations.
- Experience supporting operational process improvement initiatives.

Job Type & LocationThis is a Contract to Hire position based out of Fayetteville, GA.
Pay and BenefitsThe pay range for this position is $20.00 - $24.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
